Facilities Coordinator - Real Estate Management Services

Position Overview

We are seeking an experienced Facilities Coordinator to support one of our new transition accounts in Paris. This role is critical in ensuring seamless facility operations while maintaining the highest standards of client satisfaction. The successful candidate will be responsible for comprehensive facility management, from vendor coordination to financial oversight, while building strong relationships with all stakeholders during this transition period.

Key Responsibilities

Vendor Management & Facilities OperationsManage and coordinate multiple facility service vendors (cleaning, security, maintenance, catering, etc.)Develop and maintain vendor relationships, ensuring SLA compliance and performance standardsOversee contract negotiations, renewals, and vendor performance evaluationsCoordinate preventive and reactive maintenance programsEnsure health, safety, and environmental compliance across all facilities

Daily Site OperationsSupervise day-to-day facility operations and provide on-site presenceRespond to urgent facility issues and coordinate emergency response proceduresManage space planning, moves, adds, and changes (MAC) requestsOversee building systems monitoring and maintenance schedulesEnsure optimal building performance and occupant comfort

Financial ManagementPrepare and manage annual facility budgets and forecastsProcess and approve vendor invoices, ensuring accuracy and budget complianceTrack and report on facility costs, identifying cost optimization opportunitiesPrepare monthly financial reports and variance analysesSupport budget planning processes and capital expenditure requests

People ManagementLead and develop a small team of facility support staffConduct performance reviews and provide ongoing coachingCoordinate training programs and professional development initiativesFoster a collaborative team environment focused on client service excellence

Service Optimization & Client RelationsContinuously assess and improve facility service deliveryImplement best practices and innovative solutions to enhance operational efficiencyMaintain regular communication with clients regarding facility performanceConduct client satisfaction surveys and implement improvement plansSupport transition activities and change management initiatives

Required Qualifications

ExperienceMinimum 5 years of experience in corporate real estate services or facility managementProven track record in vendor management and contract administrationExperience in financial management, budgeting, and cost control within facilitiesDemonstrated people management and team leadership experiencePrevious involvement in account transitions or change management preferred

Technical SkillsStrong knowledge of building systems (HVAC, electrical, plumbing, security)Proficiency in CAFM (Computer Aided Facility Management) systemsAdvanced Microsoft Office Suite skills, particularly Excel for financial analysisUnderstanding of health and safety regulations in FranceKnowledge of sustainable building practices and energy management

Language RequirementsFluent in French (native or professional level)Strong English communication skills (written and verbal)Additional European languages are an advantage

Personal AttributesStrong analytical and problem-solving capabilitiesExcellent communication and interpersonal skillsClient-focused mindset with attention to detailAbility to work under pressure and manage multiple prioritiesAdaptability and flexibility during transition periods

EducationBachelor's degree in Facility Management, Real Estate, Business Administration, or related fieldProfessional certifications (IFMA, RICS, or equivalent) preferredRelevant technical qualifications in building services are advantageous
