Facilities Coordinator

Job Summary

Reports To: UK & Southern Europe FSRE Regional Manager
Job Summary: The Admin / Facilities Coordinator will be responsible for ensuring the smooth operation of office facilities and providing administrative support to various departments. This role involves managing office supplies, coordinating maintenance and cleaning services, organising and managing the catering for customer visits as and when required. As well as assisting with administrative tasks to ensure a productive and efficient work environment.

Key Responsibilities:
•    Facilities Management:
o    Oversee and support site with maintenance and upkeep of office facilities, coordinating repairs and maintenance services.
o    Support with the cleaning service provider, to ensure excellence standards of the offices and labs
o    Manage office supplies inventory and place orders as needed.
o    Ensure compliance with health and safety regulations, supporting EHS
o    Coordinate with vendors and service providers for facility-related needs.
•    Administrative Support:
o    Provide administrative support to various departments, including scheduling meetings, preparing documents, and handling correspondence.
o    Assist with the organization and coordination of company events and meetings.
o    Maintain and update office records and databases.
o    Handle incoming and outgoing mail and packages.
•    Communication:
o    Serve as the point of contact for employees regarding facility-related issues and requests.
o    Communicate effectively with internal and external stakeholders.
•    Other Duties:
o    Assist with special projects and other tasks as assigned by the Office Manager or Facilities Manager.
Qualifications:
•    Education: High school diploma or equivalent; additional qualifications in office administration or facilities management are a plus.
•    Experience: Previous experience in a administrative or facilities co-ordinator role preferred.
•    Skills:
o    Strong organizational and multitasking abilities.
o    Excellent communication and interpersonal skills.
o    Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
o    Ability to work independently and as part of a team.
o    Attention to detail and problem-solving skills.
Working Conditions:
•    This position may require occasional lifting of office supplies and equipment.
