Job Overview:
The Facilities Coordinator is responsible for managing day-to-day facility operations, handling reception duties, and processing payments related to facility management. This role ensures a well-maintained, efficient, and welcoming work environment for employees and visitors.
Key Responsibilities:
Facility Management:
Coordinate and oversee facility maintenance activities and repairsManage relationships with vendors and service providersConduct regular facility inspections to identify maintenance needsManage inventory of office supplies and equipmentCover other remote sites operation as key contact – Japan (Tokyo & Osaka), Korea, HK officesReception Duties:
Greet and direct visitors, ensuring a professional and welcoming atmosphereManage incoming calls and route them to appropriate departments or individualsHandle mail and package deliveries, distributing them to recipientsMaintain a clean and organized reception areaAssist with scheduling meeting rooms and managing conference facilitiesPayment Processing:
Process invoices related to facility management services and suppliesVerify accuracy of bills and reconcile discrepancies with vendorsAdministrative Support:
Maintain facility-related documentation and recordsAssist in preparing reports on facility operations and expensesCoordinate office moves and space planningSupport the implementation of workplace policies and proceduresEHS related supportingEvent:
Coordinate logistics for on-site events, including room setup, equipment needs, and catering arrangementQualifications:
Proficiency in Microsoft Office suite and familiarity with facility management softwareStrong organizational and multitasking skillsExcellent communication and interpersonal abilitiesBasic understanding of accounting principles and experience with invoice processingCustomer service-oriented with a professional demeanorAbility to handle confidential information with discretionKnowledge of health and safety regulations is a plusEnglish good (oral and writing)Location:
