Role Summary
Supports operational activities in accounting, maintenance, vendor oversight, purchasing, occupancy services, and helpdesk while providing administrative support as needed.
Key Responsibilities:
Workplace Management
Provide hospitality for guests and employeesResolve building services issues (janitorial, conference rooms, workstations, furnishings)Coordinate maintenance activities across EMEA within SLAsManage CMMS tickets and convert external requests into trackable ticketsConduct inspections and ensure facility compliance with regulationsImplement operational procedures and identify improvementsManage projects within client budget and identify cost-saving opportunitiesCoordinate special events and manage office suppliesFinance Management
Support financial processes, tracking, and purchase order managementHealth & Safety Management
Conduct safety audits and maintain required recordsEnsure H&S responsibilities are understood and implementedVendor Management
Monitor contractor performance and develop supplier relationshipsAssist with procurement as neededPerformance & Client Relations
Develop strong client relationships and ensure satisfactionComplete required reports and meet established KPIsIdentify innovations and best practicesMaintain professional customer service approach at all levelsRequirements:
Strong experience in facilities management or related fieldProficiency in CMMS systems and Microsoft Office SuiteStrong communication and interpersonal skillsAbility to multitask and prioritize in a fast-paced environmentDetail-oriented with excellent organizational abilitiesKnowledge of building systems and maintenance proceduresUnderstanding of health and safety regulationsCustomer service orientation and problem-solving mindsetFlexibility to work occasional overtime as neededExperience with vendor management preferredAbility to interact effectively with all levels of client staffNice to have: IFMA certification or related qualification preferredWhat you can expect from us:
