Facilities Coordinator
Description We are looking for a Facilities Coordinator to join our team in Boise, Idaho. This contract position offers the opportunity to oversee and support the day-to-day operations of facilities management, ensuring smooth collaboration between team members, vendors, and stakeholders. Responsibilities: • Supervise and monitor the performance of a small team of multi-skilled operatives, ensuring tasks are completed efficiently and to a high standard. • Build and maintain effective working relationships with key client stakeholders, landlords, managing agents, and external facility vendors. • Coordinate and oversee contractors on-site, ensuring adherence to required standards and compliance with safety protocols. • Assist in the procurement process by sourcing vendors and services that align with operational needs. • Support financial processes, ensuring timely and accurate completion of budgeting, invoicing, and reporting requirements. • Utilize Computerized Maintenance Management Systems (CMMS) to track and manage work orders effectively. • Ensure conference rooms and other shared spaces are maintained and operate seamlessly. • Provide excellent customer service, addressing facility-related inquiries and resolving issues promptly. • Communicate effectively with team members and stakeholders to ensure smooth operations and information flow. • Assist with the implementation and monitoring of timekeeping and scheduling systems, such as Kronos and About Time Requirements • Proficiency in Computerized Maintenance Management Systems (CMMS) and other facility management tools. • Familiarity with systems such as Concur, IBM AS/400, Kronos Timekeeping System, and About Time. • Strong skills in Microsoft Excel, Outlook, and other Microsoft Office applications. • Experience with budgeting processes and financial management within facilities operations. • Excellent communication and interpersonal skills to foster collaboration among stakeholders. • Proven ability to manage work orders and ensure timely task completion. • Customer service experience, particularly in addressing facility-related needs. • Organizational skills and attention to detail for overseeing contractors and maintaining operational standards.
