What This Job Involves:

As a Facilities Coordinator, you'll be an integral part of our Facilities Management team. Reporting to the Facilities Manager, you'll be responsible for ensuring smooth daily operations of our facilities. Your role will involve:

Reception Services

Manage front desk operations including greeting and directing visitors, maintaining visitor logs, and providing general informationProcess incoming and outgoing mail and package deliveriesCoordinate meeting room bookings and arrangementsMaintain and issue access cards for staff and visitorsUpdate and maintain ADM service logsDistribute daily fund NAV reports to relevant stakeholdersManage company cell phone inventory, assignments, and service plansCoordinate staff lunch orders and catering for meetingsProcess business card orders for staff

Travel Coordination

Arrange Taoyuan International Airport Speedy Immigration Inspection services for traveling executivesBook flight tickets according to traveler preferences and company policiesMake hotel reservations aligned with company guidelinesCoordinate airport transfers and business car usage

Transportation Services

Arrange taxi services for staff as requiredLiaise with transportation service providers

Event Support

Assist with planning and execution of company events, meetings, and conferencesCoordinate with vendors and service providers for event requirementsSupport on-site event logistics and management

Administrative Operations

Process vendor payments according to company proceduresRetrieve official documents and forward to Compliance (CMP) as requiredMaintain inventory control of office supplies and place orders as neededSupport new hire onboarding processes including workspace preparationAssist with administrative tasks related to departing staff

Facilities Management

Monitor office facilities and coordinate maintenance and repairsReport facilities issues and follow up to resolutionMaintain records of facilities maintenance activities

Interested?  An ideal candidate would need to have the following qualifications

Bachelor's degree or equivalent experience2+ years of experience in administrative support or office managementGood written and verbal communication skills in EnglishStrong organizational skills with attention to detailProficiency in Microsoft Office suiteAbility to prioritize tasks and work under pressureProblem-solving skills and proactive approach to challenges
