Duties & Responsibilities

MAJOR RESPONSIBILITIES

Facility Coordinator will be responsible to handle the tactical delivery for the assigned property/facility and be the on-site key point of contact for client, stakeholders, and vendors.
This position report to Lead Facilities Manager who is located at onsite.

Team Structure:                            JLL x 2

Client office location:                     Shin Yokohama , Kanagawa

Site Information: Shin Yokohama (x2), Ota Gunma, Nagoya
* Nagoya is managed remotely. Site visit is required for Gunma and another Shin Yokohama office for regular maintenance.

Service hour :    9:00 - 17:30 on weekday including holiday
* Some public holiday is paid vacation days. There are company holidays in New Year, Golden Week and Obon. So total holiday including Sat, Sun, holidays are around 120 days in a year.

Soft Service Support
Cleaning, green and beverage service support
Fixed asset inventory
Receptionist work, representative calls
Contract documentation support
Payment support
 

Hard service support
Building maintenance support, attendance, announcements, etc.
Fire prevention and disaster prevention related work support, postings, announcements, related equipment management, etc.
Floor inspection
Office layout support, furniture relocation, etc.
Building entry card lending and authorization
 

Employee service support
Stationery and envelope management and ordering
Support for congratulatory and condolence services, flowers and telegrams of condolence only
Seal application and delivery
Company car management, insurance, ETC and gasoline cards, JAF card arrangements
Renting out rental car cards
Parking lot management
Help desk, response to inquiries
Orientation for new employees and transferees regarding facilities, office tours
Mail room service
Overseas business trip arrangements, hotel and cab arrangements for overseas VIPs visiting Japan
Intranet content management
Lost & found support
 

Others
Arrangement of business cards and employee ID cards (HR support)
Although irregular, event support may include catering arrangements, venue setup, and unexpected orders.
 

Candidate Specification

Key skills
Communication skill to establish trust relationship with team, vendor, users, client, stakeholder, Landlord etc.
Has a customer-oriented attitude, action; flexible, listen, proactive
Positive mind to improve for better service
Documentation skill to create report, manuals

Required skills
Over 3 years’ experience in Facility industry or some areas which utilize past experiences
Demonstrates proactive & professional approach to customer service.
Business level English (both verbal and written)
