Primary Responsibilities:

Finance Management:

Manage finance, maintain monthly payment & actual cost tracker for TPE11 & 14Manage Coupa & JDE supplier, act as POC for suppliers on payment issuesHandle non-PO payment requests as per client policy and JLL processTrack and supervise goods/services process and quality for ad-hoc POsSupport budget planning and cost controlProvide input for Monthly Reports and monitor Key Performance Indicators

Inventory and Asset Management:

Manage office supplies, pantry supplies, cleaning consumables and inventory checkMake and update "Asset Inventory List"Arrange supplier to repair damaged furnitureCheck asset inventory and print & paste asset inventory labels

Space Management:

Support MAC (Move, Add & Change) of workspaceSpace and Headcount Data Collection and space assignmentMaintain Space Utilization Database and Report

Facilities Operations:

Assist in implementing a comprehensive energy management programMonitor janitorial activities to ensure site cleanlinessImplement and comply with internal management systems for quality assuranceSeek ways to reduce costs and improve operational standardsSupport daily office operations (soft services)

Administrative Support:

Support business cards printingHandle user requests and service tickets (SIM-T, RIVER, Corrigo)Support Training Room booking & event supportAssist with new hire onboardingSupport and coordinate with IT/EHS/HR/ACS/PR/Legal for related affairsSupport office events (e.g., seasonal office deco, CNY Worship Ceremony)Backup reception counter when needed

Risk Management:

Assist in implementing and managing property risk management programFollow established escalation procedures and incident reporting procedures

Qualifications:

University degree2 years facilities management or vendor management experienceStrong interpersonal skills with a client focusTechnical comprehension of performance-based service contractsAbility to work within a budgetDemonstrated initiative and independenceGood communication skills in written and verbal EnglishSelf-motivated
