Job in a Nutshell:

The Facilities Coordinator is responsible for the successful communication and coordination of repair and maintenance requests for the retail and corporate locations of Natural Grocers. This position monitors and maintains work orders through a CMMS (ServiceChannel); tracks progress of repairs and follows through to completion; maintains location notes and pertinent store information in the ServiceChannel platform. This position will be scheduled for evenings and weekend coverage.  This position is fully on-site and requires 100% of the time be spent working from the SSC Golden office.

Responsibilities

Main Ingredients:

Oversee and lead large scale projectsProvide guidance and mentorship to level 1 coordinatorsBudget oversightDispatch outside service vendors through ServiceChannel to address store maintenance issuesEffectively identify reported maintenance related emergencies and notify Facilities Manager to ensure appropriate immediate action is takenProvide work order status updates to stores for emergency and urgent maintenance callsReview and follow up on open work orders in ServiceChannel to ensure resolution and closing of tickets is occurringUpdate store locations and other related store data in ServiceChannel as requiredAssist with training new store managers on the functions and use of the systemBid services for pricing and create work orders for external vendors as neededReview and approve invoicesIdentify and communicate recurring or failed R&M issues to Facilities Manager Provide telephone and/or email assistance to stores for troubleshooting maintenance issuesCollaborate with, and provide assistance to store team members in delivering timely solutions while providing World Class Customer Service to internal and external customersMaintain professional relations at all times in dealing with customers and vendorsParticipate in training sessions, and complete all required training assignments for Natural GrocersPerform related and other duties as assigned by Facilities Manager, including distribution of supplies, maintaining inventory of supplies, and warehouse/office organizing

Qualifications

High school diploma, GED or equivalent experience is requiredMinimum 7 years Facilities ExperienceMinimum 6 months Internal Natural Grocers ExperienceMinimum 2 years general office administration experienceWarranty management knowledge and experience is preferredAbility to multi-task and manage multiple incidents or projects simultaneouslyStrong time management and organizational skillsSuperior computer skills using Windows and Office including ExcelAbility to prioritize and balance changing priorities with attention to detailAbility to understand service agreements and negotiate pricesStrong communication and interpersonal customer service skills are a mustStrong skills in handling multiple assignments, deadlines and high-pressure situationsAbility to adapt quickly to change
