Description We are looking for a Facilities Assistant to join our team in Seattle, Washington, on a long-term contract basis. This role is focused on fostering a welcoming and inclusive environment for employees and visitors while ensuring the smooth operation of workplace services. The ideal candidate will be proactive, detail-oriented, and committed to delivering exceptional service to support our organizational goals.
Responsibilities:
• Provide front desk coverage during employee breaks and serve as a backup for long-term needs beyond the initial contract.
• Create a positive and engaging environment for employees and clients by delivering genuine and timely service.
• Build and maintain relationships within the employee community to anticipate needs and provide outstanding customer support.
• Coordinate workplace communications, including updates on building information, local news, and upcoming events.
• Assist employees in maximizing the use of workplace amenities to enhance productivity.
• Plan and execute community events that promote networking, wellness, and team engagement.
• Manage soft services across the account, including vendor coordination and operational support.
• Respond to requests logged in the ticketing system, ensuring timely follow-up and resolution by relevant teams.
• Handle administrative tasks such as ordering office supplies, booking meeting rooms, and processing vendor invoices.
• Compile monthly team reports and support other operational duties as assigned by management. Requirements • Experience with Computerized Maintenance Management Systems (CMMS) and ticketing systems.
• Strong knowledge of facilities management, including conference room coordination and soft services.
• Familiarity with Kronos Timekeeping System or similar platforms.
• Excellent interpersonal and communication skills to foster a collaborative workplace environment.
• Ability to plan and execute community events effectively.
• Proficiency in vendor management, including invoice processing and tracking payments.
• Cultural sensitivity and a commitment to ethical practices.
• Knowledge of local amenities and services, such as transportation and dining options. TalentMatch®
