Facilities Assistant

POSITION SUMMARY

This is an extremely versatile role, primarily supporting the Facilities Maintenance department with daily and long-term schedule planning. Additional responsibilities will include, but not be limited to; production reception, senior leader support, event planning, vendor liaison, procurement focal point and other activities as assigned by the Facilities Manager.

JOB RESPONSIBILITIES

Utilizes the Facilities CMMS (eMaint), with direction from the Facilities Manager and Lead, to prioritize and schedule the daily workflow of facilities technicians.Assures through auditing, that technicians are properly updating and closing work orders to assist in meeting the departments KPIsConcierges for senior leader level maintenance request. Will gather the request of the leaders and input into the eMaint system in the form of a work order and follow progress to completion to be able to provide updates. Works as the Procurement focal point to work with the Facilities Manager in managing MSAs, writing technical specifications, KT analysis, PR, PO and FRS generation.Serves as the Primary for service and parts ordering for the Facilities department.Will work with all Facilities vendors to resolve issues related to billing, contract fulfillment and special request.Will perform periodic audits of all Facilities vendors to ensure contract compliance. With the Facilities Managers schedule approval, will work as back-up to the Executive Administrative Assistant and will support the Senior Leadership team with admin task as needed. Works with Facility Manager in the creation and maintenance of forms, list, spreadsheets and documents needed to track DATA for the department.Production facility receptionist – The majority of all daily task can be performed while sitting at the reception desk. Will answer the phone and greet guest as they enter the facility. Insure cleanliness of the main entrance and managers breakroom. Will order/stock supplies and receive/distribute US mail. Supports the Facility Manager with maintaining the eMaint system and learning/updating the system as new tools are available for use. Other duties as assigned by the Facility Manager.

Education:

High School Diploma

Experience:

Generally, 0-2 years of experience in area of responsibility.Experience with MS office preferred.Experience in similar activities (planning or production planning)

Knowledge:

Possesses and applies a broad knowledge of principles and practices in their work assignments which typically are moderately complex in nature. Aircraft production environmentProject Management General familiarity with MS Office and Computer based Maintenance Management Systems (CMMS)

Skills:

Proficiency with planning practices and tools Strong organizational skills Strong verbal and written communication skills Utilization of Lean Production concepts

Abilities:

Data analysis and consolidation

Working Conditions / Environment/ Special Requirements

Ability to work in a safe professional manner adhering to all regulatory requirements including, OSHA, EPA, State and Federal regulations.As required by the position, must have the ability to wear a respirator as per OSHA 29 CFR 1910.134 "Respirator Protection" regulations with no restrictions that would prevent the proper use and/or seal of the respirator.Ability to work flexible hours and different shifts if requiredEmployees will be subject to the random drug and alcohol testing under FAA regulations
