IFF in Union Beach, NJ is seeking a Facilities & Operations Coordinator to join our onsite Business Unit Support team!

This is a full-time, onsite role responsible for coordinating facilities operations and organizing internal and external events, ensuring a smooth and engaging experience for employees, guests, and vendors. You will work closely with cross-functional teams and external partners to manage logistics, supplies, and services that support our vibrant workplace culture.

Where You’ll Make a DifferenceCreate and maintain schedules for events, corporate visitors, and vendorsCoordinate with vendors to customize IFF awards, apparel, and branded suppliesManage purchasing for Facilities via SAP, Zycus, and/or SimfoniSupport onboarding of new IFF employeesAssist with safety and environmental compliance in Facilities operationsOversee common areas and liaise with cleaning staff to ensure cleanlinessMonitor supply closets and ensure materials are stockedCollaborate with the onsite Catering Coordinator to maintain pantry areasOrganize internal meetings, workshops, customer visits, and logisticsDirect catering services, assist with orders, deliveries, and room setupsCoordinate meetings across time zones and manage transportation logisticsManage budgets and expenses for employee community eventsBook and set up conference rooms and ensure event timelines are metCommunicate with event hosts and manage post-event surveys and feedbackWhat Makes You the Right FitAssociate’s or Bachelor’s degree in Business Administration or related field1+ years of experience in facilities coordination, event planning, or administrative supportStrong organizational and multitasking skillsExcellent communication and interpersonal abilitiesProficiency in Microsoft Office (Excel, PowerPoint, Outlook)Experience with SAP, Zycus, Simfoni or similar systems (preferred)Ability to work independently and collaboratively in a fast-paced environmentHigh attention to detail and customer service orientationHow Would You Stand Out?Experience managing vendor relationships and budgetsFamiliarity with corporate event planning and logistics coordinationPassion for creating inclusive and engaging employee experiencesWhy Choose Us?Comprehensive medical, dental, and vision insurancePaid parental leave (16 weeks)401(k) with 6% company matchCareer development programsEmployee assistance programsInclusive and collaborative work environmentAnd more! Total Base Pay Range43.800,00 - 62.550,00 - 81.300,00 USD Annual
