Overview Big Sky Resort is seeking a detail-oriented and motivated individual to join our Food & Beverage team as an Administrative Specialist. This position plays a critical role in supporting General Managers and Executive Chefs through accurate and efficient invoice processing, inventory auditing, and compliance monitoring. As an essential partner in back-of-house operations, you’ll help ensure the success and smooth functioning of our food & beverage outlets across the resort. The ideal candidate will have a passion for organization and accuracy, excellent communication skills, and a collaborative mindset. Responsibilities Maintain day-to-day F&B administrative operations including invoice processing, inventory tracking, and vendor communication Audit invoices for accuracy, identify pricing discrepancies, and notify leadership of any increases Collaborate with GMs and Executive Chefs to maintain recipe data, set accurate pricing, and ensure inventory systems are up to date Monitor compliance of inventory standards and purchasing procedures, supporting consistency across all outlets Contribute to data integrity by learning and maintaining multiple software systems and tools Attend outlet leadership meetings to support communication between teams and drive process alignment Partner with the Systems and Software Manager to ensure procedural consistency across purchasing, invoicing, and inventory Support onboarding and training efforts for new F&B admin procedures and systems Assist with additional operational or administrative tasks as assigned Qualifications A minimum of 2 years of experience in food and beverage operations, preferably in an administrative or inventory-focused capacity Proven attention to detail and ability to thrive in structured, repetitive workflows Strong organizational skills and ability to manage multiple systems, documents, and tasks simultaneously Experience with invoice management, purchasing systems, or inventory tracking is a plus High proficiency in Microsoft Office, particularly Excel and Outlook Ability to lift up to 25 pounds and work early, midday, and evening shifts including weekends and holidays Strong written and verbal communication skills High personal accountability and a results-driven approach to problem-solving Preferred Skills and Attributes Familiarity with Big Sky Resort’s dining offerings and food & beverage operations Experience working across cross-functional teams, including culinary, procurement, and IT Comfort working within established protocols while contributing to process improvement A positive, approachable demeanor with a collaborative team mindset A desire to learn, adapt, and grow with a fast-paced organization Additional Information & Benefits This is a full-time, year-round position with access to outstanding benefits, including: Health Plan with company HSA match 401(k) Plan with performance-based company match Free Golf Pass, Scenic Lift Pass, and Basecamp activities for you and discounted passes for dependents 50% off lodging for friends and family 25% off all resort food & beverage outlets 20%-30% off retail purchases and gear discounts with partner brands Employee housing eligibility (within walking distance or accessible via free bus service) Discounted ski passes for you and your dependents Eligibility for health and retirement benefits upon reaching required hours Opportunity for year-round employment with seasonal furlough
