Reporting to the Vice President of Advancement, the External Relations & Database Specialist provides essential support for Macaulay's fundraising operations.
Duties include but are not limited to:
- Oversee database integrity and maintain the gift processing database, including depositing checks and cash, processing credit card payments, batching gifts on all giving platforms and ensuring accurate entry of all gifts into the system.
- Track Advancement team interactions with all constituents and record in database to support fundraising impact and trends analysis.
- Work closely with the finance department to reconcile all gift transactions. Compile all funds received in a weekly and monthly report.
- Manage departmental files by developing and maintaining an organized filing system for both paper and electronic documents, ensuring compliance with CUNY policies and applicable federal or state laws regarding document retention.
- Conduct prospect research, wealth screening reports and importing data into the Raiser's Edge database. Import various information from multiple sources, including alumni data and donor interactions into database.
- Create reports, queries, lists, and exports from the database for the Advancement or Marketing departments as necessary.
- Create, coordinate and schedule appeals, mass mailings and email appeals for all constituents and prospects.
- Generate acknowledgment letters promptly and create, edit, or update letter templates as needed.
- Provides strong logistical support in the planning and execution of fundraising and friend-raising special events.
- Produce weekly financial reports and bi-annual reports to CUNY.
- Serve as the PCI Compliance officer to ensure adherence to CUNY policy standards.
All full-time CUNY staff are expected to work in-person at their campus office 70% of their work time. This is equivalent to 7 out of 10 days of in-person work in a two-week period (e.g., 7 days in person, 3 days remote). This hybrid work schedule is subject to change.
**QUALIFICATIONS**
Bachelor's Degree and four years' related experience required.
A preferred candidate should have:
- A minimum of 3 years’ experience with Raiser's Edge and Mail Chimp.
- A minimum of 1 year of experience working in higher education.
- Highly proficient with Microsoft Word, Excel, and PowerPoint.
- Highly proficient with Canva and Adobe Photoshop.
- Strong diplomatic and customer service skills.
- Ability to be a team-player.
- Positive and upbeat attitude.
- Strong attention to detail.
Candidates must be legally authorized to work in the United States on a full-time basis. Sponsorship will not be offered for this position.
