As receptionist, you will be responsible to manage schedules, appointments, files, and the general flow of front-desk operations.
To succeed in this role, you should have minimum 1–2 years in a similar role (e.g., receptionist, front desk, administrative assistant).

What you’ll do
We are looking for Project Secretary to join our team in Jakarta, Indonesia.
The role responsibilities include\:
· Reception Duties\: Managed front-desk operations, greeted and assisted guests and clients, offered refreshments, and ensured a welcoming environment.
· Phone & Communication Management\: Answered and directed phone calls, took messages, and maintained an efficient communication flow within the office.
· Reception & Meeting Room Maintenance\: Maintain cleanliness and organization of the reception area and meeting rooms, ensuring they are presentable and fully always stocked with necessary supplies.
· Office Supplies & Consumables Management\: Oversaw office supplies, monitored stock levels, and placed orders to ensure seamless daily operations.
· Meeting & Event Coordination Assistance\: Assisted in organizing internal events, meetings, and company gatherings, including managing logistics, room setup, and resource coordination.
· Document & Goods Shipment Management\: Coordinated domestic and international shipments of documents and goods, processed all necessary paperwork, and ensured timely delivery as requested.
· Safety Protocol Implementation\: Maintained visitor logs, ensured information was accessible during fire drills, and supported safety-related tasks and protocols.
· Transmittal Preparation\: Prepared and organized transmittals for outgoing documents (both corporate and project-related).
· Logistics Coordination\: Managed the driver’s schedule, ensuring adherence to local regulations regarding odd/even car license plate restrictions.
· Project Event Support\: Assisted in the planning and coordination of project events in collaboration with project secretaries.
· Invoice Management & Processing\: Support the project secretary to process invoice for approval, ensure all necessary information and documentation are included before submitting them to the Finance team.

What you’ll have
· Bachelor’s degree or Diploma Degree (required)
· Post-secondary education (certificate or diploma in administration or customer service) is a plus.
· Communication skills – clear verbal and written communication
· Customer service – friendly, professional demeanor
· Multitasking ability – handle multiple tasks calmly and efficiently.
· Organization skills – manage schedules, calls, and documentation.
· Computer literacy – familiarity with MS Office (Word, Excel, Outlook), email systems, and phone systems
· Time management – punctuality and ability to prioritize tasks.
· 1–2 years in a similar role (e.g., receptionist, front desk, administrative assistant) preferred
· Experience in handling multi-line phone systems is beneficial.
· Familiarity with office equipment (printers, copiers) is helpful.
· Professional appearance and demeanor
· Attention to detail.
· Ability to maintain confidentiality.
