Summary
The Export Documentation Officer ANZ is responsible for supporting the day-to-day execution of functional business Export Documentation processes in accordance with the Service Level Agreements aligned with Kraft Heinz Australia and New Zealand business stakeholders.
Based in Hastings, this 6-month role will provide a high level of Customer support to our ANZ Export Customers. The role will also work in partnership with third party Business Process Outsourcing (BPO) partners to drive operational performance of our ANZ Exports Order Management Team, with a focus on our internal stakeholders and ANZ Export customers
Key responsibilities
Customer Centric Operational Stability:
Review of FCL, LCL and Airfreight Export Orders
Liaising with Internal DC’s & 3PLs to ensure that deadlines are met
Raising Customs Declarations and Regulatory certificates
Consulting with Government & Statutory Bodies on exporting requirements
Processing Commercial Invoices, Packing Lists & Forwarding Instructions for Waybills/Bills of Lading
Raising/Applying Certificate of Origins & Health Certificates
Working with Banks to ensure Letter of Credit Orders are accurately processed on time
Assisting stakeholders and Customers with enquiries
Ensuring all documentation is accurate
Work closely with our Business Process Outsourcing (BPO) partners to coach and train the broader Export documentation team on core fundamentals and continuous improvement opportunities
First point of escalation for Kraft Heinz on Export documentation matters (commercial invoices, shipping documents, internal queries)
Stakeholder Collaboration:
Liaise between GBS and Kraft Heinz on Service Level Agreements and Reverse Service Level Agreements and drive action plans to improve performance on both sides
Drive Service Performance Management reviews between business and GBS and improve reporting with GBS team
Process Improvement:
Ensure process documentation is updated frequently to reflect current standard operating procedures in compliance with Kraft Heinz policies and controls / MPI & RFP requirements.
Support project and technology implementations including BSM and other digital solutions
Review and analyse reporting from Export Documentation and liaise with Offshore & Sales teams
Apply understanding of assigned business process to identify gaps and propose continuous improvement measures
General:
Perform assigned tasks in accordance with all Kraft Heinz Food Safety, Environmental, Health and Safety, and Ethical and Human Resources policies, programs and goals.
Uphold the Kraft Heinz values and to work in a way that contributes to the company’s vision
Coordinate with external and internal customers on matters of Export Documentation.
About you
Strong Data Processing background
Experience in BPCS and other ERP systems an advantage
Experience in MS Word and Excel
Positive, proactive can-do attitude – Excellent customer service skills
Attention to detail and high accuracy skills – Strong problem-solving skills
Ability to work within a team environment
Ability to foster strong relationships across all levels of the organisation
Understanding of ANZ exportation documentation processes
Minimum of 3 years of processing work experience in a similar industry
Experience working with BPO or offshore teams an advantage
Experience managing multiple stakeholders and priorities
Experience participating in Continuous improvement initiatives
