What this job involves

This position serves as the first point of contact for clients and visitors, delivering exceptional customer service while managing the reception area and coordinating various administrative tasks. The Experience Service Concierge creates positive experiences through professional hospitality, effective communication, and proactive problem-solving to ensure seamless daily operations and client satisfaction.

Your day-to-day tasks will include:

• Greet and welcome clients and visitors, providing information and assistance in a professional manner

• Manage incoming calls and emails, responding promptly and effectively to inquiries and requests

• Coordinate and schedule appointments, meetings, and events with attention to logistics and execution

• Handle and resolve guest complaints or issues, escalating when necessary to ensure satisfactory outcomes

• Collaborate with internal teams including facility management and security to address client needs

• Maintain organized and tidy reception area to ensure a welcoming professional environment

• Proactively identify service delivery improvements and suggest innovative solutions

Physical Demands and Work Environment:

• Prolonged periods of standing and sitting at reception desk

• Ability to lift and carry materials up to 25 pounds

• Clear verbal communication and active listening skills required

• Professional office environment with regular interaction with clients and visitors

• Flexibility to work weekends and evenings as required

• Ability to remain calm and composed under pressure

• Multi-tasking in fast-paced environment with frequent interruptions

Required Qualifications:

• High school diploma or equivalent education

• Proven experience in customer service role, preferably in hospitality or property management

• Excellent interpersonal and communication skills, both verbal and written

• Strong organizational and multitasking abilities with attention to detail and accuracy

• Proficiency in MS Office and customer service management systems

• Ability to handle difficult situations with professionalism and tact

• Flexibility to work varied schedules including weekends and evenings

Preferred Qualifications:

• Additional relevant certification in hospitality, customer service, or related field • Experience working in commercial real estate or corporate office environment • Knowledge of local area amenities, restaurants, and transportation options

• Familiarity with building management systems and security protocols

• Bilingual capabilities to serve diverse client base

• Experience with scheduling software and visitor management systems

• Basic knowledge of event coordination and meeting room setup
