Job Description:
Major Accountabilities
Provides secretarial and administrative support e.g. calendar management, travel scheduling/arrangements, processing of expense claims and carrying out any ad hoc tasks if needed.Responsible for other administration works: taking notes/minutes at meetings; devising and maintaining office systems, including data management, filing, arranging travel and accommodation, support in tracking spendPlans and schedules meetings, conference calls, high profile offsite or in-house conferences involving key executives of the BUs. Coordinates logistics for these meetings and conferences with minimum supervision.Gathers and compiles data required for presentation materials.Acts independently in referring matters to other executives for appropriate actions.Coordinates with other secretaries of the functional heads of the BUs on administrative and functional details.Prepares annual forecast and budget submission.Reading and reviewing incoming emails, corresponding on behalf of the manager as necessary and within his/her scope of jobs; screening phone calls, enquiries and requests, handle as appropriate.Managing, organizing, and maintaining agenda, meetings, appointments; ensuring that his/her manager is well prepared for meetings;Tracking/monitoring priorities of the manager. Under direction from the manager, delegating work to others in the manager's absence.Support other team members when applicable in administrative supportAd hoc projects follow upSpecialized Knowledge/Skills

Bachelor degree in Business Administration or related discipline.Minimum 5 years' solid secretarial experience in serving senior executive preferred in banking or insurance industryJob Category:
