Executive Secretaries and Administrative Assistants
Description We are looking for a detail-oriented Executive Secretary and Administrative Assistant to join our team in Albany, New York. This long-term contract role is crucial for supporting the Vaccine Call Center within the Division of Vaccine Excellence, focusing on vaccine order accuracy, inventory tracking, and provider communication. The position offers a hybrid work environment, combining remote and in-office tasks, with training provided to ensure success. Responsibilities: • Process vaccine orders while maintaining communication with healthcare providers to ensure accuracy and compliance. • Utilize the New York State Immunization Information System (NYSIIS) to manage vaccine order data and related processes. • Record and report expired or spoiled vaccines from provider offices, escalating issues to supervisors as needed. • Input and verify provider demographics and vaccine return details within the Vaccine Tracking System (VTrckS). • Compile and present data related to vaccine inventory and provider activities in a clear and organized format. • Monitor vaccine inventory for emergency preparedness and ensure proper tracking procedures. • Manage enrollment forms for providers, including new registrations and annual renewals, while updating profiles when necessary. • Maintain detailed records of vaccine-related purchases and provider activities. • Assist in tracking receipt and managing completeness of required documentation from providers. • Support the development and maintenance of accurate records for internal accountability and reporting purposes. Requirements • Proven experience in customer service, administrative support, or call center operations. • Strong communication skills, both written and verbal, to interact effectively with healthcare providers and team members. • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. • Ability to efficiently input and manage data using web-based applications and tracking systems. • Familiarity with vaccine-related processes or healthcare operations is a plus. • Exceptional organizational skills with a keen attention to detail. • Comfortable working in a hybrid environment, balancing remote and in-office responsibilities. • Demonstrated ability to adapt to new systems and processes while maintaining high levels of accuracy.
