KEY RESPONSIBILITIES:\n\nOperates multiple-line telephone and routes calls to the appropriate person or location within the office. Calls must be answered in four rings or less.\nExercises discretion and interpretive judgment in frequent and sometimes stressful contacts with callers. Research and identify the appropriate business units or persons for callers when it is not obvious from a provided list.\nGreets customers, vendors, employees from other locations and other visitors with high degree of professionalism and courtesy.\nLog all guests and visitors in and out of the visitors system.\nMaintains statistical data and volume of visitors, calls, and conference room reservations.\nCall for car service when required.\nReceives deliveries.\nComplies with client security policies.\nManage scheduling of all conference room reservations.\nEnsures all conference rooms are set up and broken down within agreed time.\nEnsure set-up of audio\/visual conferencing etc.\nProvides general administrative and clerical assistance.\nMaintains safe and clean reception area.\nIdentify telephone system problems and immediately alert the proper personnel.\nOther duties as assigned.\n\n

Qualifications:\n\nHigh school diploma required; Associate's degree preferred.\nThree (3) - Five (5) years or more direct experience in a high touch corporate environment.\nStrong computer acumen including a high degree of proficiency (3-5 years experience) with Microsoft Office Software (Word, Excel, Outlook).\nExhibits superior verbal communication and phone skills.\nExhibits exceptional customer service skills. Ability to interact with high level clients.\nExcellent organizational skills. Ability to prioritize work assignments while managing conflicting priorities and requests.\nConsistently demonstrates professional demeanor, appearance, and attitude.\nProven ability to remain calm under pressure; resilient.\nSound judgment and problem-solving ability.\nAbility to appropriately handle confidential and highly sensitive material.\nAbility to take initiative and function independently while working in a team oriented environment.\nAssertive and resourceful; motivated; willing to ask questions and take initiative without direction.\nPossesses strong attention to detail.\n
