Executive Assitant and Employee Engagement Manager

**In This Role, Your Responsibilities Will Be:**
+ **Executive Support:**
+ Assisting Japan General Manager, including calendar management, travel arrangements, and meeting arrangements
+ Prepare and organize documentation for meetings, presentations, and projects.
+ Facilitate communication between the General Manager and other departments/offices, ensuring efficient flow of information.
+ Handle confidential and critical information with discretion.
+ Arrange differnt types of meetings, including logistics, agendas, and follow-up actions.
+ Work closely with overseas executive assistants for any necessary travel arrangements for guests from overseas
+ Serve as focal point of contact for overseas guests and visitors and provide vital assistance
+ Administrative tasks in the Information Technology department such as customer account management (registration, updates, etc.) in CRM and ERP systems, updating data on various dashboards, invoice processing, and support for simple tasks
+ Providing support to the strategic account sales department's administrative tasks and other duties as needed when capacity allows
+ Perform other administrative and project-based duties as assigned.
+ **Communication Strategy Development:**
+ Develop and implement a communication strategy that cultivates workplace culture centered around inclusiveness.
+ Collaborate with HR and other Functions to ensure alignment of messaging and cultural goals.
+ Develop and distribute internal communications, newsletters, and memos including our SharePoint update to promote engagement and transparency.
+ **Event Management:**
+ Plan and organize internal events, workshops, and seminars to facilitate communication among employees.
+ Work with external partners and vendors for the successful execution of events.
+ Evaluate and report on the impact of communication initiatives and events.
+ **Workplace Culture Advocacy:**
+ Act as an ambassador for inclusiveness, encouraging inclusive work environment through communications and events.
+ Identify opportunities to enhance employee engagement and inclusion through strategic initiatives.
+ **Continuous Improvement:**
+ Monitor industry trends and best practices for communication and corporate culture enhancement.
+ Propose innovative solutions for enhancing communication and inclusiveness in the workplace

**For This Role, You Will Need:**
+ Bachelor’s degree or equivalent experience.
+ Any experience as an executive assistant or in a similar high-level administrative role is a plus
+ Excellent written and verbal communication skills in Japanes and in English
+ Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
+ High level of discretion, integrity, and professionalism.
+ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, etc).
+ Ability to handle multiple tasks concurrently with speed and accuracy
+ Ease in dealing with different levels and functions of the organization
+ Experience of dealing with Enterprise IT system is plus
+ Legal authorization to work in Japan - Sponsorship will not be provided for this position
