Provide high-level administrative support by conducting research, preparing statistical reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. 

Responsibilities:

Client Service RepresentativeMonitor and maintain Client Relationship Management (CRM) platform, ensuring accuracy of all information and records therein Communicate professionally, effectively, and in a timely manner with current and prospective clients, providers, partners, and others via phone/voicemail, email, fax, snail mail, and in-person interactionsAnswer, route, and resolve incoming calls Monitor office voicemail accountsCall current and prospective clients related to marketing, paperwork, general check-ins, etc.Prepare, send, and process client-facing paperwork with extreme attention to detail, including follow- up to correct errors and verify executionTrack & troubleshoot incoming rollovers/transfers/exchangesConference call financial platforms with clients to ensure required information is obtainedPerform account researchOccasionally work business events outside of normal work hours (always with ample advance notice)Help coordinate seminars, marketing campaigns, and other business development efforts o Infrequent travel to clients’ homes or workplaces to deliver/pickup documentsExecutive AssistantManage the Advisor’s calendar, including scheduling and rescheduling appointments as needed Allow office access and greet visitors, making them feel comfortable and welcome (including offering, preparing, and serving non-alcoholic beverages and snacks)Submit/track/update marketing compliance requests and approvalsSort, and, whenever possible, handle received mail and packages on behalf of AdvisorPrepare and mail outgoing correspondence, including client communications, greeting cards, checks, etc.Monitor and ensure sufficient inventory of all office supplies, including forms, folders, business cards, envelopes, pens and other promotional items, printer ink, snacks/beverages, kitchen and bathroom supplies, etc.Arranging property maintenance and repairsCommunicate with IT support on behalf of office and AdvisorCoordinate travel arrangements 

Education: Bachelor Degree

Bachelor's degree or higher strongly preferred

Experience: 24 months

Has exceptional customer service skills, extreme professionalism, and unending patienceIs committed to strict confidentiality of all information and documentsHas strong written and verbal communication skills, including proper spelling, punctuation, and grammarDemonstrates proficiency in Microsoft Office (especially Outlook, Excel, and Word) and web applicationsHas excellent organizational skills and attention to detailCan work independently, make sound decisions, multi-task, and prioritize competing tasks effectivelyHas a valid driver’s license, a working vehicle, and appropriate insurance (same-day travel will be required from time to time)
