Position Summary The Executive Assistant to the Vice President for Global Diversity and Inclusion is a critical position in the office of the Vice President, managing the Vice President’s time, focus, and energy; ensuring critical projects move forward; maintaining critical relationships, and ensuring that processes are completed in a timely manner, and supporting the integrity and high standards of the office. Adaptability and flexibility are critical in a fast-paced, iterative office with a constantly shifting calendar, as is managing multiple projects, both following directions and taking initiative, organizing, translating and working with all campus stakeholders.
This position supports and enables the Vice President for Global Diversity and Inclusion (GDI), who leads and advances diversity, equity, and inclusion initiatives across the PSU campus and in the greater community, through co creation, strategic planning and execution, collaboration, and innovation. The VP for GDI is a member of the President’s Executive Council with oversight of several departments and the GDI team has over 50 full-time employees, and over 70 student employees and graduate assistants. This position will stay current on all aspects of the VP’s portfolio, including initiatives,projects, policies, practices, and procedures in order to provide informed and trustworthy input, feedback, and support to the VP and help the VP advance their tasks.
The Executive Assistant to the Vice President holds a high-trust position and is expected to maintain strict confidentiality. This role requires professionalism, discretion, and adherence to appropriate protocol in all interactions involving the Office of the Vice President, the individuals it serves, and those engaging with the Division of Global Diversity & Inclusion. The Executive Assistant co-supervises student employees and serves as a present and visible role model, coach and support, who helps student workers have meaningful projects and impact and helps support community building between them and the full time employees. The Executive Assistant works closely with the other administrative leads in GDI, as well as in the President’s office and other senior leaders, including GDI leadership. Please note that as we consider operational excellence initiatives, this position might spend up to 6 hours a week supporting other units in GDI
Global Diversity & Inclusion is seeking a dynamic, results-driven administrative professional with exceptional administrative and organizational skills. The ideal candidate is both strategic and tactical and possesses strong attention to detail and is able to learn and manage PSU’s complex operational systems. They have acute emotional intelligence, are able to manage competing priorities, exhibit cultural humility, a serving mindset and a get it done attitude. Minimum Qualifications At least three (3) years of related work experience Ability to pass a background check Ability to work with multi-cultural populations respectfully Preferred Qualifications BA/BS degree preferred Work experience in higher education preferred Experience managing, planning, coordinating, and implementing events preferred Commitment to and experience with promoting and enhancing diversity and equity. Demonstrated excellent oral and written communication skills Self-directed, proactive, and demonstrated ability to initiate activities Ability to work effectively with external constituencies Demonstrated ability to handle multiple tasks and issues effectively Excellent office management skills and the ability to maintain a positive, customer-service oriented office Ability to maintain confidentiality Flexible, collaborative, and well-developed people skills Demonstrated skills in DRUPAL Demonstrated proficiency with computing skills including Microsoft Office (Word, PowerPoint, Excel), electronic calendars, web updating, database management systems, and fiscal systems and respectfully within the context of varying beliefs, behaviors, orientations, identities, and cultural backgrounds. PSU has a structured process for determining starting compensation, taking into account years of related experience, applicable skills, knowledge and abilities, market parity, and internal equity.
The starting annual salary range for this position will be $48,144 -$60,180 but may be negotiated above this range dependent upon the factors above, the budget of the hiring department, and approval from HR.
An excellent benefits package includes 95% premium paid healthcare; a generous retirement and vacation package; and reduced tuition rates for employee, spouse or dependent at any of the Oregon University System schools.
