This is a critical role in supporting the Global Chief Content Officer and Global Editorial Director of Vogue. Operating as part of the Executive Office, they will oversee the day-to-day running of the Global CCO’s office, managing a range of administrative and strategic support functions to ensure smooth and seamless operations, in collaboration with another assistant.
The successful candidate will be extremely organised, efficient, proactive, deadline-oriented, and able to multitask and prioritise in a fast-paced, matrixed media environment. They will be able to anticipate needs, and handle all matters with professionalism. Primary Responsibilities:
Provide strategic calendar management including coordinating and supporting the Global CCO’s full schedule
Field calls and emails to the Global CCO’s office
Demonstrate emotional intelligence, judgement, discretion, and confidentiality in all matters
Coordinates all international and domestic travel and accommodations for CCO
Assist with all internal meeting arrangements including booking rooms, technology set-up, preparation/printing of materials, coordination of attendees, etc.
Manage general office administration and supplies, liaising with the Facilities team to coordinate office maintenance as necessary.
Assist with the coordination and preparation of presentations, meeting materials, and special projects on behalf of the Global CCO, beginning to learn and understand the internal landscape (company culture, organisational structure, operating model, etc.), external marketplace (industry, competitors, etc.), and graphic/visual sensibility.
Assists with note taking, meeting documentation, and follow-ups.
Assists with various Vogue content initiatives, maintaining an awareness of high-level production schedules, deadlines, and key deliverables.
At times, may contribute to content assignments, research, and/or special projects.
Collaborates effectively with editorial leaders and internal partners such as Finance and HR to help the Global CCO execute company-wide programmes such as performance and compensation reviews, workforce planning, talent reviews, etc.
Alternate weekend cover as needed
Comfortable working in an always-on global media environment
Works to manage all of CCO’s communication both internal and external
Attend events with CCO and serve as CCO’s onsite support
Oversee guest lists and event logistics for CCO events as requested, in collaboration with the events team. Can include coordination with designers, chefs and waitstaff, communication with all guests and organization and execution of decor materials (i.e. menus, branded decor)
Minimum Requirements:
College degree and 1-2 years combined internship/work experience providing administrative support, ideally in the digital media, content, or publishing industry
Proficiency in G-Suite
Strong verbal communication, interpersonal, and collaboration skills – comfortable liaising with people at all levels across global boarders
Strong written communication skills including grammar and proof-reading ability
Strong organisational and time-management skills including ability to juggle multiple tasks at once while being extremely punctual, proactive, and deadline-oriented
Solutions-oriented with an ability to think on your feet and demonstrate personal accountability, initiative, and follow-through
Impeccable attention to detail
Confidence and enthusiasm balanced by humility and a willingness to learn
Experience working within a global organisation is advantageous
The expected base salary range for this position is from $90,000-$125,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
