Executive Assistant to General Manager – Saudi Arabia


Key Responsibilities:


Administrative and Management Support:

Assist the Management Team in drafting and reviewing agreements, letters of authorization, addendums, and other formal documentation.Arrange logistics including flights, accommodation, visas, and other travel-related requirements.Maintain and update management team records, vacation schedules, and business planning documentation.Manage expense reports and travel arrangements for the Leadership Team (LT) in line with company policies and standard operating procedures (SOPs).Support Purchase-to-Pay (P2P) teams in raising Purchase Orders (POs) efficiently and accurately.
 

Calendar and Meeting Coordination:
 

Manage and prioritize the calendars and inboxes of the General Manager (GM) and Leadership Team, highlighting critical and time-sensitive tasks.Schedule and coordinate internal and external meetings, ensuring seamless logistics, invitations, follow-ups, and response tracking.Organize offsite meetings, Country Leadership Council sessions, and other strategic meetings, ensuring effective agenda preparation, logistical support, and action tracking.Act as the primary point of contact, in coordination with the Saudi Strategy & Operations Director, for all LT meetings (face-to-face and virtual), including agenda preparation, slide consolidation, minute-taking, and follow-up on action items.Finalize and cascade quarterly Saudi LT meeting calendars, including Monthly Performance Calls, Country Business Reviews, and other critical engagements.

 

Trade Compliance and Logistics:

Oversee office shipments and customs transactions, coordinating closely with stakeholders to ensure smooth processing.Maintain accurate monthly shipment reports and perform regular inventory reconciliation.Coordinate with compliance teams (IT, Manufacturing, Marketing) to ensure all compliance documentation is complete, accurate, and audit-ready.Validate and verify trade compliance documents in alignment with regulatory requirements and internal policies prior to audit deadlines.


Operational and Cross-Functional Support:

Support IT teams in asset write-off processes.Facilitate internal stakeholder and consultant meetings, ensuring effective communication and coordination.Provide comprehensive support for regional and global teams during their visits and meetings in Saudi Arabia.Collaborate with Communications Business Partner on Saudi-specific announcements, virtual coffee sessions, and expanded LT meetings.
Assist new Saudi LT members with onboarding and induction processes, ensuring a smooth integration into the Saudi team.


Governance and Compliance:
 

Ensure strict compliance and governance in all tasks related to the GM and direct reports, adhering to local SOPs and due diligence practices.Organize Saudi-related meetings following compliant procurement processes via ARIBA.


Qualifications and Skills Required:
 

Strong organizational and time management skills with exceptional attention to detail.Excellent communication and interpersonal abilities.Proficiency in calendar management, expense reporting tools, and procurement systems (e.g., ARIBA).Ability to handle sensitive information with discretion and maintain confidentiality.Proactive attitude with the ability to prioritize tasks effectively in a dynamic environment.Experience in Pharmaceutical industry is preferred.
