Job Description
This role involves independent leadership in employee engagement and task coordination for multiple directors. The Executive Assistant will provide high-level support to several Directors within the Accounting team. This position requires a proactive, customer service-oriented professional who can manage tasks with attention to detail, organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests from various stakeholders.
Responsibilities
+ Effectively and proactively support multiple leaders within the Accounting organization, including complex calendar management and scheduling across multiple locations.
+ Manage expense reimbursement, including report coordination, submission, and issue tracking.
+ Coordinate global schedules and travel arrangements, including cost-effective air, hotel, and ground transportation, and create detailed travel itineraries.
+ Organize and execute team activities, including staff meeting agendas, all-team meetings, off-sites, and team social events.
+ Track and help drive the completion of key deliverables and follow up on outstanding items, including meeting notes and action items.
+ Work closely with the leadership team and other Executive Assistants to provide support to the organization.
+ Create, edit, and ensure the readiness of documents and presentations.
+ Assist with the development and maintenance of new mechanisms within the team.
Essential Skills
+ 3-5 years of high-level leadership support experience.
+ Proficiency with Microsoft Office products and applications.
+ High school or equivalent diploma.
Additional Skills & Qualifications
+ Experience leading process improvements.
+ Experience in a fast-paced, high-tech company.
+ Experience designing processes to maximize efficiency.
+ Bachelor's degree is preferred for potential conversion to a full-time role.
+ Calendar management for several leaders across multiple time zones using Outlook.
+ Event planning experience.
+ Domestic and international travel booking experience, including visas.
+ Expense management experience, ideally with Concur.
Work Environment
The position is located 100% onsite at the corporate office in Arlington, VA, US. The role entails working five days a week, generally from 9 AM to 5 PM, with flexibility required for events and meetings at headquarters. The role requires 40 hours of work per week with no option for overtime. Pay and Benefits
The pay range for this position is $28.00 - $32.00/hr.
