Executive Assistant & Logistics Manager

Provide comprehensive executive support to senior leadership, ensuring seamless office administration and high-level assistance.
Lead and coordinate EA & Logistics team operations, fostering collaboration and accountability among administrative and logistics staff.
Ensure timely and accurate processing and liquidation of payments for all logistics-related services (including fuel, transportation, hotels, and travel accommodations) across company credit cards and executive expenses, collaborating closely with the Finance department to maintain compliance and proper documentation.
Manage professional and personal scheduling for executives and leadership team, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
Source, cultivate, and negotiate with transportation, shipping, airline, and accommodation partners to ensure optimal service and maintain strong, long-term relationships.
Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination.
Implement strict conduct and confidentiality measures within the Executive Assistance & Logistic team with all materials and exercise discretion when interfacing with the business
Organize team communications and plan events, both internally and offsite.
Drive continuous improvement initiatives within the EA and Logistics functions, identifying opportunities to enhance efficiency and service quality.
Create and maintain the filing systems, trackers and reports.
Negotiate and restructure agreements with airlines, accommodation providers, transportation companies, and other partners to secure favorable terms, optimize costs, and enhance service quality through strong partnerships and effective communication.
Collaborate with other departments on various initiatives and projects to support overall business needs and objectives.
Supervise, mentor, and develop team members, providing guidance, performance feedback, and professional growth opportunities.
