Location: This is an onsite position at ADM's Global Headquarters in Chicago, IL requiring a daily on-site presence.

Position Summary:
ADM is seeking an Executive Assistant to provide direct support to the Senior Vice President, Chief Legal Officer and Secretary and the Vice President, Corporate, Securities and M&A Counsel & Assistant Secretary. This highly visible role is critical to keeping key legal and corporate governance projects and initiatives moving forward by delivering high-level administrative support.

Key Responsibilities:Ensure complete confidentiality on all sensitive legal and business mattersProactively manage complex and frequently changing calendars, taking initiative to resolve scheduling conflicts and maintain seamless daily flowCoordinate complex global travel arrangements and prepare accurate expense reportsAssemble and prepare documents, presentations, reports, and correspondence for both internal and external use, often under tight deadlinesDesign and deliver polished PowerPoint presentations for use in meetings with the executive team, board, and external stakeholdersMaintain and organize administrative, reference, and legal files, ensuring accurate documentation and timely follow-upCreate, format, and distribute Excel reports compiled from various internal and external sourcesReview, route, and secure approvals from multiple departments, ensuring timely turnaround on key mattersManage multiple Microsoft SharePoint sites and Teams channels, overseeing document repositories, permissions, and access controlsPlan, coordinate, and manage meetings and events, including those involving external counsel and other key individualsSupport leaders, at times, during non-standard hours due to travel or urgent company prioritiesKey Characteristics:Strong spirit of teamwork and proven ability to cultivate and maintain positive working relationships at all levels, both inside and outside the organizationMaturity, professional demeanor, and personal discretion to confidently interact with senior leaders, directors, and external partnersIndependent decision-making and problem-solving skills with a logical, systematic approach to developing solutionsExcellent communication skills emphasizing clear, concise writing and speakingOutstanding listening, organizational, and time management skills, with meticulous attention to detail and follow-upDemonstrated ability to work under pressure to meet critical deadlinesPrudent judgment in handling highly confidential and sensitive issuesFlexibility and a positive attitude in adapting to changing priorities and environmentsCommitment to continuous learning and proactively seeking opportunities for process improvementQualifications:A bachelor’s degree is preferred but not required and/or a minimum of five years of executive assistant or equivalent high-level administrative experienceProficiency in the Microsoft Office Suite (SharePoint, Teams, Outlook, Word, PowerPoint, Power BI, and Excel) required;Familiarity with Document and Matter Management systems as well as tools such as DocuSign, Adobe Professional and Compare ware software is preferred Excited about this role but don’t think you meet every requirement listed?
