Executive Assistant - International Commercial

Job Description

Organon is looking for an Executive Assistant, based in Lucerne Switzerland, that provides comprehensive administrative and operational support to the leadership of the International Commercial organization. This role is critical in enabling commercial leaders to focus on strategic initiatives by managing schedules, coordinating communications, facilitating meetings, and handling various administrative tasks with the utmost professionalism and confidentiality.

Responsibilities

Calendar and Schedule Management: Proactively manage complex calendars for commercial leaders, including scheduling meetings, appointments, and travel arrangements, anticipating conflicts, and making necessary adjustments.

Communication Liaison: Serve as a primary point of contact for internal and external stakeholders, screening and prioritizing communications, and ensuring timely and appropriate responses.

Meeting Coordination: Organize and coordinate global meetings, including scheduling, preparing agendas, distributing materials, arranging technology and catering, and taking minutes as required.

Travel Management: Arrange extensive travel logistics, including flights, accommodation, transportation, and visa applications, ensuring all arrangements align with company policy and executive preferences.

Expense Reporting: Prepare and submit expense reports accurately and promptly.

Information Management: Maintain organized filing systems and ensure the confidentiality of sensitive information.

Relationship Management: Build and maintain strong working relationships with colleagues across different departments and global regions.

Ad-Hoc Administrative Tasks: Perform general administrative duties such as ordering supplies, managing office equipment, and other tasks as assigned to support the commercial leadership team.

Required Education, Experience, and Skills  

Experience: Proven experience (5+ years) as an Executive Assistant supporting senior executives, preferably within a global or commercial environment.

Education: Bachelor's degree preferred, or equivalent practical experience.

Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams).

Organizational Skills: Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment.

Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with diverse audiences across different cultures and time zones.

Discretion and Confidentiality: Demonstrated ability to handle sensitive information with the highest level of discretion and confidentiality.

Proactiveness and Problem-Solving: A proactive approach to anticipating needs and resolving issues independently.

Adaptability: Ability to adapt to changing priorities and work effectively in a dynamic global environment.

Interpersonal Skills: Strong interpersonal skills with a professional and approachable demeanor.

German language skills are considered a big plus
