Executive Assistant (Hybrid, NYC)

We are seeking an experienced Executive Administrative Assistant to support our Senior Vice President of Sales and their direct reports at our Midtown Manhattan office. You’ll be a key partner in ensuring our leadership team and office operations run efficiently while also providing back-up reception support as needed. This is a fully on-site role offering dynamic responsibilities in a fast-paced environment.

Key Responsibilities:

Executive Support:

Provide high-level administrative support for the Sales SVP, direct reports, and occasionally the broader sales teamManage complex calendars, prioritize and coordinate meetings involving executive leadership, clients, and key stakeholders; handle all related correspondence and logisticsScreen and prioritize urgent calls; maintain strict confidentiality when handling sensitive informationOrganize events, staff and client meetings, including project management, budget oversight, space/IT coordination, and logistical supportPrepare and proofread PowerPoint presentations, Excel reports, and Word documents; draft and distribute memos, letters, and meeting minutesCoordinate complex domestic and international travel itineraries, meetings, and manage expense reportsPrepare and file expense reports; collect receipts for SVP and direct reportsMaintain and update organization charts and time/attendance records; approve bi-weekly timesheets and exceptionsServe as procurement lead for sales team supplies and equipment; manage tracking and eligibilityCoordinate resources and logistics for client visits to NYC and liaise with Edgewood staff as neededSupport additional administrative projects and priorities as assigned

Reception Back-Up (Occasional):

Welcome, direct, and announce visitors at the front deskAnswer, screen, and forward office calls; provide accurate info in-person and via phone/emailLiaise with facilities and IT for conference room and office supportMaintain office security and control access; manage logbooks and issue visitor badges

Qualifications:

3-10 years of experience supporting senior executives in a comparable Executive Assistant roleAdvanced skills in PowerPoint, Excel, Word, and OutlookBachelor’s degree strongly preferredExceptional written and verbal communication skills; outstanding grammar and proofreadingProven ability to work effectively with diverse personalities and all management levelsHighly organized, detail-oriented, adaptable, and able to manage short deadlines and competing prioritiesTrusted to handle sensitive information with discretion and professionalism

Salary range $35.00- $40.00 Hourly USD. Bonus Eligible.
