The Executive Assistant (EA) & Office Manager, SG for Leica Biosystems is responsible for providing high-level executive support to the VP - APAC, and focus on ensuring seamless office operations, and driving cross-functional coordination to enhance organizational efficiency, executive productivity, and employee experience.

This position is part of the Commercial team located in Singapore, onsite. At Leica Biosystems, our vision is to advance cancer diagnostics and improve lives.

You will be a part of the Commercial Team and report to the VP – APAC responsible for lead a high performing commercial (sales, marketing, service and back office) organization for the entire region with the objective to maximize sales and profitability for Leica Biosystems across a range of diverse, high potential emerging markets with a mix of direct and distributor organizations. In this role, you will have the opportunity to:

Senior Executive Assistant

Manage and prioritize executive calendars, scheduling meetings and appointments, including preparing agendas , reports, and presentations with a prominent level of accuracy for the APAC Leadership Team. Assist in the planning and execution of special projects and events such as Annual Kick-off meetings and quarterly APAC Leadership Team meetings.Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation and manage expense reimbursement process on MXP.Organize and manage executive-level meetings.

Administrative Support & Employee Services

Oversee daily operations of office facilities including managing vendor relationships and negotiating contracts for services such as pantry service, security, and maintenance of pantry, ensuring a safe and efficient work environment and serve as the primary point of contact for internal clients regarding general affairs..Oversee onboarding and offboarding processes for employees (IT Equipment management / Company property management).

The essential requirements of the job include:

Executive Support Expertise: Proven track record of supporting C-level or senior leadership with calendar management, travel coordination (including international), meeting preparation, and expense reporting.Strong Organizational Skills with the ability to work with accuracy and efficiency in a fast-paced environment, excellent communication skills both in written and verbal formats with a professional and diplomatic demeanor and Strong time management and problem-solving skills, with the ability to anticipate needs and proactively address issues.Confidentiality & Discretion: Demonstrated ability to handle sensitive information with the highest level of confidentiality and integrity.Proficiency in Office Tools: Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (e.g., Zoom, Teams, Concur, SAP, or similar).Flexibility and Adaptability: Comfortable adapting to shifting priorities, last-minute changes, and high-pressure situations.

Travel Requirements:  Ability to travel 25 % travel within APAC.

It would be a plus if you also possess previous experience in:

Diploma or Degree in Business Administration, Office Management, or a related field (preferred but not always mandatory).
