Executive Assistant - COO Office, Wealth Management Risk

The Executive Assistant is responsible for providing high-level administrative support to the Head of Wealth Management Risk as well as providing a variety of administrative, organizational and logistical support to the Chief Operating Office team supporting the Head of Wealth Management Risk. The Executive Assistant will interface regularly with individuals at all levels across Morgan Stanley and outside the firm. This individual must have an excellent customer service orientation and the ability to manage a fast-paced work environment and juggle multiple, simultaneous projects.  This is an on-site role located in our Wealth Management Headquarters in Purchase, NY with willingness to travel to New York City.

Responsibilities:

Maintain, manage, coordinate and prioritize high level executive calendar and ensure preparation for meetings, including scheduling meetings and conference calls, ensuring multi-media functionality and attendee tracking, as well as creating materials where necessaryCoordinate extensive travel, including domestic and international travel (booking flights, hotels and ground transportation; collecting all relevant details and preparing trip itineraries; communicating with trip organizers), and complete expense reportsVet incoming calls and direct as appropriate - handle conflicts and prioritize issues, and meeting & participation requestsEstablish and maintain positive relationship management with key internal and external colleagues (clients, vendors, charity boards, etc.) and serve as a collaborative point of contact in each relationshipCoordinate and maintain the client and engagement schedulePlan, organize and implement events such as weekly Leadership meetings, departmentwide events and off-sites, and participate in team meetings as neededAssist executives with time management goals and identity & highlight dependenciesSubstantial other duties as necessary including but not limited to special projects and initiatives

Requirements:

Bachelor’s degree or equivalent and 7+ years of professional experience. Interest in the financial services industry a plusA proven track record of success in supporting an executive or executives with their administrative work, which has included the management of their travel, events, communications, and key relationshipsDemonstrate strong problem-solving skills with the ability to assess issues not only at transactional face value but also aligned to the broader goals and priorities of the organization– anticipating downstream impacts, identifying cross-functional implications, and proposing solutions that align with long-term strategic goalsExcellent writing and proofreading abilities, with an emphasis on accuracy, spelling, punctuation, and grammarExcellent time management and organizational skills that reflect an ability to prioritize and perform multiple tasks with attention to detailStrong listening and communication skills suited for working collaboratively with a broad range of individuals and effectively interacting with colleagues both in the office and in remote locations, with external partners, and with clientsDiscretion with highly confidential and sensitive informationSelf-starter with a high level of energy, professionalism and desire to learnAbility to work well under pressure with rapidly changing priorities,Proactive approach to problem-solving with strong decision-making capabilityProficiency in MS Outlook, Word, Excel and Zoom applications is required. Working knowledge of PowerPoint required, and creating professionally packaged documents with Adobe Acrobat a plus

Expected base pay rates for the role will be between $58,000 and $115,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
