The role youll contribute:

The Senior Executive Assistant is responsible for providing administrative assistant support to the Senior Executive (s) including organizing and coordinating office operations and procedures of the Executive Office. Ensures organizational effectiveness and efficiency.

The value youll bring to the team:

Supports senior executive(s) with day-to-day administrative responsibilities while using judgment for the level of discretion and confidentiality needed.

o Schedules meetings, prepares agendas, takes minutes and distributes material as necessary and/or requested.

o Reviews and updates board manuals on an annual basis. Oversees Board of Director meetings and responsibilities.

o Distributes pre-meeting information such as agendas, handouts or booklets. Completes minutes within forty-eight (48) hours or two (2) business days for review.

o Facilitates written communication by grasping facts that are given verbally, in an outline form or by notes given. Performs research as necessary to include analysis of complex issues for the completion of documents. Ensures accuracy of documents in final form. Enables timely filing of copies for accuracy of administrative files.

Maintain Executive Office services

o Establish office policies and standards

o Organize office operations and procedures

o Supports administrative office staff providing guidance and training

o Control correspondences

o Review and approve supply requisitions

o Coordinate with other agencies, organizations and groups

o Update organizational memberships

o Maintain office equipment

Maintain Executive Office records

o Ensure filing systems are maintained and up to date

o Define procedures for record retention

o Ensure protection and security of files and records

o Ensure effective transfer of files and records

o Transfer and dispose records according to retention schedules and policies

Maintain office efficiency

o Plan and implement office systems, layout and equipment procurement

o Maintain and replenish inventory

o Anticipate needed supplies

Qualifications

The expertise and experiences youll need to succeed:

Five to seven years of directly related work experience, preferably in a senior level in a health care setting required.

AA degree in secretarial science or equivalent preferred.

Drivers license required.
