Executive Assistant/ Accounting Assistant
Description Established construction company specializing in safety products serving general contractors, government agencies, and private sector clients across New York State is seeking a qualified Executive assistant with abilities to handle a diverse work load. Job Summary We’re looking for a highly organized, dependable Executive & Office Assistant to support the leadership team and help manage day-to-day operations. This is a trusted role with a wide range of responsibilities—from administrative tasks to light accounting and project coordination. The ideal candidate is proactive, detail-oriented, and capable of handling confidential information with discretion. Key Responsibilities + Provide administrative and executive support to company leadership. + Organize and maintain digital and physical files, reports, and project documents. + Manage incoming and outgoing correspondence, including emails and mail. + Perform basic accounting tasks such as invoice tracking, data entry, and expense reporting. + Track project deadlines and facilitate communication between team members and external stakeholders. + Manage confidential information with professionalism and discretion. + Order office supplies and coordinate with vendors for equipment and facility needs. + Assist in planning and coordinating company events, meetings, and trainings. + Provide general office management and support as needed. Requirements Qualifications + Proven experience in an administrative, executive assistant, or office management role. + Strong organizational and time management skills. + Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting software. + Excellent written and verbal communication skills. + Ability to manage multiple tasks with minimal supervision. + Trustworthy, dependable, and able to handle sensitive information. Preferred Qualifications + Experience in construction or infrastructure-related industries is a plus. + Familiarity with New York State contracting or projects is helpful but not required.
