Position Title: Executive Assistant
Region: APAC
Location: Beijing, China
Department: Theatrical
Reports to: General Manager, Theatrical, China
Your New Role:
As an Executive Assistant, provides an appropriate ambassadorial role in support of the GM. Proactively builds a positive image for the office and fosters strong relationships with the China staff, the corporate teams, the other market clusters and the bigger WBD organization.
Key Responsibilities:
To act as the main point of contact. In particular, to manage the interface with key executives within Greater China, Asia Pacific and the larger WBD organization.
Support with meetings and activities:
Suggest and prepare agendas.
Take minutes where appropriate.
Advise on meeting format and logistics.
Manage activities around offsite meetings as well as selected events (in partnership with relevant teams).
Coordinates with other WBD China Departments to ensure GM attends and participates in major business events for the company.
Manage diary and travel schedule
Make travel, transport & hotel arrangements and arrange travel itineraries. Organise expenses.
Provide relevant documentation in preparation for meetings.
Answer telephone and screen calls, route callers, take detailed messages, respond to internal and external enquiries, and provide information within scope of authority.
Manage the flow of contracts and expenditures that come for GM’s signature.
Maintain appropriate filing system.
Manage the budget
Process and record expenses
Assist GM in the communication with major government authorities and business partners.
Experience required:
Minimum 3 years’ experience in a fast-paced customer facing environment with Executive assistant role related.
Solid knowledge of Microsoft Office, mobile technology and social media.
Education, Professional Training, Technical Training or Certification:
Bachelor’s degree
