Executive Assistant
Description We are looking for a dedicated and proactive Executive Assistant to provide exceptional administrative and operational support to senior leadership. This long-term contract position is based in Rogers, Arkansas, and offers a dynamic environment where organizational skills and attention to detail are highly valued. The role combines traditional executive assistant duties with facilities coordination responsibilities, ensuring smooth day-to-day operations. This position is 100% onsite with a M-F 8AM - 5PM schedule. Responsibilities: • Manage executive calendars, coordinate meetings, and arrange travel logistics, including expense reporting. • Organize and maintain departmental records, develop filing systems, and prepare materials for meetings. • Facilitate meetings and events by coordinating agendas, taking minutes, and ensuring follow-up on action items. • Oversee office operations, including managing supplies, addressing IT issues, and liaising with contractors and vendors. • Conduct daily inspections of office spaces and restock supplies in work areas, restrooms, and the pantry. • Support on-site events, including catering arrangements and equipment setup. • Handle visitor registration through systems like iLobby and manage badge requests. • Monitor building maintenance tasks, including monthly inspections of facilities, emergency equipment, and workspace conditions. • Provide technical support for platforms like Teams, Zoom, and other office equipment. • Assist with vendor management and ensure effective communication with external service providers. Requirements • 3-5 years of experience in office management, with exposure to both facilities coordination and executive assistant duties. • Proficiency in Microsoft Office Suite and other office technologies. • Strong organizational and time management skills with the ability to prioritize tasks effectively. • Excellent communication skills and a proactive, detail-oriented demeanor. • Ability to lift up to 10-12 lbs when necessary. • Familiarity with vendor and contractor management is a plus. • Comfortable working autonomously while supporting senior leaders. • Experience in consumer-packaged goods or retail organizations is an asset.
