We are seeking a highly proactive and detail-oriented Executive Assistant to provide strategic and administrative support to our Marketing Leadership Team. This role goes beyond traditional scheduling and coordination—you will be an integral partner in ensuring the team operates efficiently, anticipates needs, and executes with speed and precision.

Key Responsibilities
Executive & Calendar Management
Manage complex, dynamic calendars for multiple senior marketing leaders, prioritizing and resolving scheduling conflicts.Anticipate needs by preparing materials, agendas, and information ahead of meetings and events.Coordinate travel arrangements, accommodations, and itineraries with precision and cost-effectiveness.Looking ahead and anticipating conflicts, schedule challenges and needsOperational & Team Administration
Maintain department documentation, contact lists, organizational charts, and shared resources.Manage team training schedules and other team communication, ensure deadlines are met and priorities are reinforcedCoordinate and support internal marketing events, town halls, and offsites.Strategic & Proactive Support
Anticipate challenges and identify solutions before issues arise.Continuously look for ways to improve processes, increase efficiency, and enhance team collaboration.Act with urgency and confidence, ensuring the leadership team can focus on strategic priorities without distraction.Basic Qualifications:
High School Diploma5+ years of experience supporting senior executives, preferably in a marketing, advertising, or fast-paced corporate environment.Preferred:
Exceptional organizational skills with the ability to manage multiple priorities and meet tight deadlines.Strong written and verbal communication skills; ability to interact with all levels of the organization.Tech-savvy and proficient in tools such as Microsoft Office Suite, Outlook, Teams, and collaboration platforms (e.g., SharePoint, Slack).High degree of professionalism, discretion, and confidentiality.Demonstrated ability to work independently and make sound decisions in ambiguous situations.
