Description We are seeking an organized, proactive, and highly efficient Executive Assistant to support our executive leadership team. The ideal candidate will possess strong communication skills, impeccable attention to detail, and the ability to manage a dynamic workload. The Executive Assistant will handle a wide variety of administrative tasks, from calendar management to project coordination, ensuring the smooth operation of day-to-day activities for our executive leadership team.
What you’ll be doing (Key Responsibilities):
• Calendar Management: Schedule, coordinate, and manage executives’ calendars, meetings, and appointments. Prioritize and resolve scheduling conflicts as needed.
• Communication: Serve as a liaison between the executive and internal/external stakeholders.
• Travel Management: Plan and coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries. Prepare expense reports.
• Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and reports.
• Document Management: Prepare, proofread, and edit documents, reports, and presentations.
• Facilities Management: Liaise with building management across our global offices regarding building access, maintenance, parking, etc.
• Project Support: Assist with various projects, track deadlines, and ensure the smooth execution of ongoing initiatives.
• Office Management: Manage supplies, office equipment, and work with other departments to ensure a well-functioning office environment.
• Confidentiality: Maintain discretion and confidentiality on sensitive information and business matters.
• General Administrative Support: Provide administrative support as required, including handling phone calls, data entry, managing daily operations, and providing support to other administrative staff (vacation coverage, etc.).
Requirements:
• Proven experience as an Executive Assistant or in other administrative roles supporting senior-level executives.
• Proficiency with Microsoft Office (Outlook, Word , Excel, PowerPoint),Adobe, DocuSign, and Concur
• Excellent written and verbal communication skills
• Ability to work independently and take initiative
• Strong attention to detail and problem-solving skills
• High level of professionalism, discretion, and confidentiality
• Strong organizational and multitasking abilities
• 5 + years of comparable experience - associate or bachelor’s degree preferred
• Technology/SaaS industry experience a plus Requirements
Skills & Qualifications
+ Experience: Minimum of 3 years of experience as an Executive Assistant or similar role, preferably in a fast-paced business environment.
+ Efficiency: Highly organized with excellent attention to detail and ability to multitask effectively.
+ Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with scheduling tools like Google Calendar or similar.
+ Communication: Exceptional written and verbal communication skills.
+ Problem-Solving: Ability to work independently, anticipate needs, and resolve challenges proactively.
+ Professionalism: High level of discretion, integrity, and confidentiality.
+ Industry Experience: Familiarity with the automotive repair industry or similar would be a plus but is not required.
