Executive Assistant
Description We are looking for a proactive and highly organized Executive Assistant to provide essential support to the leadership team, including the CEO, Director of Marketing and Director of Operations. In this role, you will oversee administrative functions, manage schedules, and ensure the smooth execution of daily operations. This position is Contract with the potential for long-term placement and offers an excellent opportunity to contribute to organizational efficiency while working closely with senior leaders. Responsibilities: • Coordinate and manage complex calendars for the leadership team, ensuring seamless scheduling and prioritization. • Facilitate onboarding processes and maintain HR documentation to support new hires. • Monitor and manage office supply inventory, handling procurement as necessary. • Arrange travel accommodations, including hotel bookings and itinerary planning. • Prepare and submit accounts payable and expense reports, ensuring accuracy and timely processing. • Utilize Microsoft Office Suite tools, including Excel, SharePoint, and Teams, to organize data and create detailed reports. • Analyze data trends, generate pivot tables, and collaborate with managers to interpret insights. • Record accurate meeting minutes and distribute action items to relevant stakeholders promptly. Requirements • Proficient in Microsoft Office Suite, with expertise in Excel, SharePoint, Teams, and Word. • Strong organizational skills with the ability to manage complex schedules and multitask effectively. • Exceptional communication skills, both written and verbal, with attention to detail. • Demonstrated experience in booking travel arrangements and coordinating logistics. • Ability to work independently while maintaining a high level of accuracy and professionalism. • Familiarity with preparing expense reports and handling accounts payable. • Experience in data analysis, including creating pivot tables and interpreting trends. • Previous experience in an executive assistant or similar administrative role is preferred.
