**Description** **Executive Assistant** **POSITION SUMMARY** The Executive Assistant provides high-level administrative and operational support to multiple Asplundh senior operational executives. This role is responsible for managing complex scheduling, coordinating travel and events, and handling confidential information with professionalism and discretion. Additionally, the Executive Assistant supports financial reporting processes, prepares reports and presentations, and ensures timely coordination of key activities across departments. The position plays a critical role in keeping executives informed, organized, and on schedule. This description outlines the general scope and expectations of the role and is not intended to capture every duty or qualification required. **ESSENTIAL FUNCTIONS** + Provides professional and confidential administrative support to multiple senior-level operational executives across Asplundh. + Coordinates calendars, schedules meetings, manages logistics for executive travel, and prepares meeting materials. + Handles sensitive company and personnel information with a high degree of discretion and integrity. + Supports financial reporting tasks, including pulling and organizing data from multiple sources, preparing reports, maintaining dashboards, and assisting with analysis. + Tracks and reconciles expense reports, vendor invoices, and corporate card transactions, ensuring timely submission and proper documentation. + Plans and executes logistics for executive meetings, site visits, and events, including accommodations, transportation, meals, and on-site support. + Drafts and maintains correspondence, reports, meeting minutes, agreements, and other standardized documentation. + Serves as a liaison between executives and internal/external stakeholders to facilitate timely and effective communication. + Manages special projects and performs general administrative support as needed. **MINIMUM REQUIREMENTS** + 5+ years of experience supporting senior executives in a corporate or operational environment. + Proven ability to manage multiple priorities in a fast-paced, deadline-driven setting. + Strong written and verbal communication skills with a high level of professionalism. + Excellent organizational, time management, and problem-solving skills. + Demonstrated proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with data tools such as Tableau or Power BI is a plus. + Ability to work independently while supporting cross-functional teams and maintaining a service-oriented mindset. **Benefits** We offer a competitive range of benefits to support our employees’ health, well-being, and financial security.
