About the Indiana Office of Energy Development: The Indiana Office of Energy Development (OED) was established to shepherd the state’s energy plan. OED focuses on the development and implementation of comprehensive energy planning for the state that utilizes all of Indiana’s energy resources and supports a strong, dynamic, and growing economy. OED strives to be a national leader in the creation of innovative policy solutions and programs for affordable, reliable energy.  Role Overview: The Executive Assistant (EA) assists the Indiana Office of Energy Development in all ministerial and administrative aspects relating to the performance of their duties. In addition, the EA serves as a special projects coordinator for the office on various initiatives and projects that may arise from time to time. The EA coordinates the daily internal and external schedules of the Executive Director and other staff, as requested. The EA serves as a primary interface with the public on behalf of the office. Experience + At least three years of working experience in an office environment in a position of trust with senior management in either the public or private sector is strongly preferred. + Ability to work independently, and proactively identify and solve problems or issues is preferred. + Ability to identify and predict preferences or needs of senior management-related positions is a plus. Salary Statement: The salary for this position traditionally starts at $37,648.00 but may be commensurate with education or work experience. A Day in the Life: + Coordinate the calendars of the Executive Director and office staff, which includes setting meetings and conferences through communication with other state officials and other external stakeholders that interact with the Executive Director and staff. + Draft correspondence and responses to public and stakeholder inquiries on behalf of the Executive Director or office, including, but not limited to, general inquiries, invitations, requests for Letters of Support, meeting requests, and other types of communication. + Manage travel coordination, including registering for conferences or events and booking of flights and lodging, as needed, for the Executive Director and other office staff. + Coordinate with OED staff to maintain and update the OED’s website. + Responsible for the orderly and efficient flow of communication and information to and from the public and stakeholders to the Executive Director and staff as needed. + Track OED staff’s quarterly reporting metrics related to the federal State Energy Program and provide them to the Grants Manager. + Provide general office management, including but not limited to creating and modifying documents using Microsoft Office; performing general clerical duties such as photocopying, faxing, mailing, and filing; maintain physical and electronic records; processing invoices; and ordering office supplies and equipment as necessary. + Maintain and manage the office’s main phone line and email. + Receive and assist members of the public who enter the office to meet with OED staff. + Assist the office on special projects as requested and needed. + Perform related duties as assigned. What You'll Need for Success: + A high school degree required. + Intimate knowledge and ability to use Microsoft Office products, especially Microsoft Outlook required. + Knowledge of basic office functions strongly preferred. + Strong ability to maintain confidentiality. + Strong communicator—both orally and written. + Ability to simultaneously manage multiple projects and adapt to different projects and/or tasks. + Highly organized and able to assist others in maintaining organization.
