Executive Assistant
Learfield is seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support the Executive Vice President (EVP) of Corporate Sales and the four Senior Vice Presidents (SVPs) within Corporate Sales. This individual will play a critical role in ensuring the smooth and efficient operation of their offices by managing calendars, coordinating travel, and serving as a trusted point of contact. In addition, the EA may provide limited administrative support (such as expense processing or meeting coordination) to key leaders who report into these individuals.

This is a full-time, on-site position based in Learfield’s Jacksonville Beach, Florida office.

Key Responsibilities

Calendar & Schedule Management: Manage calendars for the Corporate Sales EVP and four SVPs, scheduling meetings, coordinating priorities, and ensuring efficient time management.Travel Coordination: Arrange travel logistics including flights, accommodations, and itineraries for the Corporate Sales EVP and four SVPs and, as needed, for their direct reports.CRM Support: Work with sellers to incorporate sales agreements and detailed updates on prospect status into the CRM systemSales Update Aggregation: Compile and distribute a bi-weekly sales update that details the status of pitches in progress for the Local property teamsProspect / Client Entertainment Tracking: Aggregate and document client / prospect entertainment plans at weekly college football games and other key events throughout the year.Meeting & Event Support: Prepare agendas, take notes, track action items, and coordinate logistics for key meetings, offsites, and eventsDocument & Presentation Prep: Draft, edit, and format presentations, reports, and correspondence with attention to detail and tone.Expense & Admin Support: Provide for the Corporate Sales EVP and four SVPs and provide limited assistance to their direct reports as needed.Project Coordination: Support special projects or initiatives in partnership with other internal stakeholders.Confidentiality: Handle sensitive information with professionalism, discretion, and integrity.

Qualifications

Bachelor’s degree or equivalent work experience required.Minimum of 4 years of experience as an Executive Assistant, preferably supporting multiple senior leaders.Strong organizational, problem-solving, and multitasking abilities with exceptional attention to detail.Excellent verbal and written communication skills.Highly proficient in Microsoft Office Suite, especially Outlook, Teams, PowerPoint, and Excel; experience with Concur or similar tools is a plus.Experience with supporting members of a sales organization; familiarity with CRM systems is a plusDemonstrated ability to work independently, anticipate needs, and proactively manage shifting priorities.Positive, service-oriented attitude and a high degree of initiative.Proven ability to manage confidential matters with sound judgment and discretion.
