At Eurofins in Australia & New Zealand, our Eurofins Regional Service Centre ANZ Pty Ltd plays a key role in supporting executive leadership and driving strategic initiatives across the region. The Centre delivers critical support across administrative functions, procurement, people and culture, finance, and operations—enabling senior leaders to make informed decisions and execute business priorities effectively. We are currently seeking a highly organised and proactive Executive Assistant to join our team and contribute to the seamless coordination of executive activities.

Job Description

As the Executive Assistant, you will play a pivotal role in ensuring the smooth operation of executive functions. You will manage day-to-day activities, facilitate effective communication, and support the delivery of strategic and operational priorities. This is an office-based role, requiring regular on-site presence to support senior leadership and coordinate key activities.

Duties include but are not limited to:

Manage travel arrangements, expense reconciliations, vendor liaison, and internal communications for senior leaders.Organise regional staff conferences, board meetings, and leadership sessions, including minute-taking and action tracking.Assist with strategic project coordination, milestone tracking, and support local staff development programs.Provide regional reporting, maintain SharePoint sites, and support automation and digital transformation initiatives.Support compliance reporting, maintain legal and insurance registers, and coordinate group data responses.Coordinate performance reviews, engagement surveys, exit data reporting, and onboarding/offboarding for senior hires.Ensure all activities align with Eurofins’ Code of Ethics and relevant policies and procedures.

QualificationsTertiary qualifications in Business Administration, Communications, or a related field are desirable.Candidates currently undertaking relevant studies will also be considered.

Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Excellent written and verbal communication skills, with the ability to engage professionally across all levels.Strong attention to detail and high accuracy in data entry and document preparation.Skilled in managing large volumes of documentation with precision and efficiency.Advanced typing, editing, and document formatting skills, ensuring consistency and professionalism.Demonstrated initiative, self-motivation, and accountability in managing responsibilities.Ability to understand and respond to the needs of senior stakeholders with professionalism and discretion.Proven ability to handle confidential and sensitive information with integrity.
