Position Summary:
We’re looking for an experienced, adaptable, and detail-obsessed Executive Assistant to serve as the right hand to our CEO and a critical partner to our Executive Leadership Team. This role is about more than just managing a calendar, it’s about creating order from chaos, anticipating needs before they arise, supporting the rhythm of the business, and ensuring that meetings, events, and operations happen with polish and precision. 

This role is fast-paced, high-visibility, and incredibly rewarding for someone who thrives behind the scenes, loves working cross-functionally, and takes pride in delivering excellence every day. 

Key Responsibilities:

Executive & Administrative Support (CEO + Executive Team)  

Manage the CEO’s daily schedule, priorities, and communication  Coordinate internal and external meetings, including agenda setting, attendee preparation, and follow-ups Prepare and edit professional-level correspondence, briefing documents, presentations, and executive summaries  Organize and process business expenses, mileage reimbursements, and credit card reconciliations Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and contingency plans Serve as a liaison between the CEO and internal/external stakeholders Track key dates, deliverables, recurring obligations, and project milestones

Board & Governance Support 

Manage logistics and partner with the CEO, CFO, and ELT to coordinate travel, lodging, transportation, catering, meeting spaces, AV, and preparation of materials for quarterly Board meetingsEdit, compile, and format decks to meet legal, branding, and SEC requirements Maintain secure and organized access to governance documentsSupport logistics for earnings calls, investor relations meetings, and annual shareholder events as needed 

Event Planning & Special Project Support 

Plan and execute key internal and external events, including franchisee summits, annual conventions, recruitment events, executive offsites, holiday gatherings, town halls, and culture events Manage event logistics from start to finish, including venue sourcing, catering, registration, materials, gifts, speakers, and vendor coordination Ensure brand consistency and professionalism across all event collateral Serve as day-of lead to oversee smooth execution and troubleshooting 

Office Operations & HQ Experience 

Maintain an organized, welcoming, and functional office environment, including oversight of office supplies, snack and beverage inventory, kitchen and shared space tidinessServe as primary contact for building management, janitorial services, and security concerns Manage office access, including creating badges and administering parking passes, gym memberships, and guest credentials Greet and assist visitors, manage incoming calls and mail, oversee general email inboxes, and support shipping and receiving 

Key Qualifications 

Proven track record of supporting C-level executives, ideally within a public company or fast-paced environment Advanced expertise in calendar management, meeting preparation, and complex travel coordination Demonstrated ability to handle highly confidential information with integrity and discretion Exceptional writing and editing skills, with the ability to craft polished, professional communications, reports, and presentations High emotional intelligence, executive presence, and the ability to build strong relationships across all levels of the organization Meticulous attention to detail, strong judgment, and proactive problem-solving skills Consistent ability to meet deadlines and deliver high-quality work with precision and accuracy Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Teams, Zoom, and related office technology Proven success in planning and executing events from concept through completion This role follows a hybrid schedule and will require an in-office presence at our Scottsdale, AZ headquarters at least three days per week (Tuesday-Thursday).
