Description We are looking for an experienced and highly organized Executive Assistant to provide comprehensive administrative support to senior executives in a fast-paced, dynamic environment. This is a long-term contract position based in San Francisco, California, offering the opportunity to work on high-priority initiatives and contribute to the success of a growing organization. The ideal candidate will have exceptional communication, multitasking, and organizational skills.
Responsibilities:
• Manage highly confidential and sensitive information with discretion and professionalism.
• Provide proactive administrative support to three executives, ensuring seamless day-to-day operations.
• Coordinate complex travel arrangements, including booking flights, hotels, and managing itineraries.
• Oversee executive calendars using Microsoft Outlook, prioritizing tasks and managing correspondence.
• Plan and organize meetings by creating agendas, preparing materials, and documenting meeting notes.
• Develop business presentations and materials, including PowerPoint slide decks and meeting minutes.
• Assist with various arena-related initiatives and events, ensuring smooth execution of plans.
• Coordinate logistics for off-site meetings and special events as needed.
• Respond promptly to administrative requests and inquiries, taking initiative to resolve issues independently.
• Maintain and update distribution lists and manage database information as required. Requirements • Bachelor’s degree in business administration or a related field, or equivalent relevant experience.
• 3-5 years of experience in administrative or project management roles.
• Strong ability to handle confidential information with integrity and discretion.
• Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
• Exceptional written and verbal communication skills, with the ability to collaborate across all organizational levels.
• Proven ability to work independently while managing multiple priorities effectively.
• Experience in fast-paced or rapidly growing organizations is highly desirable.
