Executive Assistant

Quanex is looking for an Executive Assistant to join our team located in Akron, Ohio.

This position performs advanced, diversified and highly confidential administrative assignments for executives and senior level leadership while also managing the daily administrative, planning and coordinating of HR/Safety activities, visitors, event planning, contract management, record maintenance and office management while ensuring that department policies are met and maintained. Must be self-motivated and have the ability to handle sensitive and confidential information discreetly and be able to work independently while demonstrating strong collaborative and organizational skills. The individual needs to be a team oriented, have the ability to multitask, and work in a fast-paced, demanding environment while prioritizing workflow.

What Success Looks Like:

Requires a broad knowledge of corporate operations and policy, and a high level of experience, discretion, confidentiality, and technical skill.  Provide administrative support to the Human Resources department as needed, including assistance with scheduling, document preparation, data entry, and coordination of HR-related activities. Operates with great latitude with independent judgement and initiative to perform shared administrative services for the senior leadership team. Management of events (including conferences & on-site meetings), researches and coordinates all details, and communicates costs analysis with management.  Provides coordination and all support required for host site(s) and attendees during the events.  Manages meeting budget and negotiates all necessary contracts. Travel for business purposes which include meeting site selection and negotiation as required. Prepare and administer high-level management correspondence, reports and presentations.  Responsible for confidential and time sensitive material. Management of customer contract tracking and repository utilizing the IronClad contract management site.  Corresponds with appropriate personnel of contract reviews. Manage facility responsibilities by working with outside vendors including uniform/safety services, vending/coffee services, document shredding and building management.  Tracking and ordering all office supplies, monitor inventory, and receive office supply items and necessary materials.  Ordering of all cafeteria supplies; coffee, paper plates, utensils, etc. Manages daily administrative tasks, phone, mail, shipments, the facility phone directory, and seating chart. Keeps a highly organized and tidy personal workspace and ensures the same for all shared conference rooms, supplies and storage spaces in the facility. Assists in projects and performs other related duties as necessary or assigned.

 What You Bring:

Associate’s degree preferred. 5+ years relevant experience preferred in an office environment. Advanced skills in MS Office and general office equipment. A high degree of tact, initiative, accuracy, judgement, and superior interpersonal skills Exceptional communication skills, both written and verbal, to utilize at all levels of the organization. Ability to establish priorities, work independently, and proceed with objectives without supervision. Ability to work well under pressure and manage several critical tasks simultaneously. Ability to work well with executive leaders and other levels of management.   

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer. Must be able to lift 10 lbs. at times.

The salary range for this position is $57,190 to $84,000 with the potential to earn an annual bonus.
