Description
We are seeking a highly organized and proactive Executive Assistant to support the Chairman of a prominent organization in the entertainment industry. This long-term contract role, based in Miami Beach, requires someone with exceptional attention to detail, the ability to manage complex calendars, coordinate extensive travel, and handle sensitive information with the utmost discretion. The ideal candidate thrives in a fast-paced environment, is skilled at multitasking, and can anticipate needs before they arise. Please note: this opportunity requires the ability to commit to a 60-hour work week.
Responsibilities:
• Act as the primary point of contact for communication on behalf of the Chairman, including liaising with Board Members, staff, and external stakeholders.
• Organize and manage meetings by booking conference rooms, coordinating catering services, and arranging visitor passes.
• Plan and oversee extensive domestic and international travel arrangements, including accommodations, transportation, and itineraries.
• Balance competing priorities effectively, ensuring tasks are completed promptly and projects are followed through to successful execution.
• Maintain and manage the executive’s calendar, scheduling appointments and ensuring time management aligns with priorities.
• Track and optimize the executive’s daily schedule to ensure efficiency and timely completion of commitments.
• Handle the organization and maintenance of files and records, ensuring easy access and security.
• Support special projects, such as assisting with corporate events and company-wide meetings.
• Be available for on-call duties, especially during the Chairman’s travel periods.
• Occasionally travel to provide support during events or meetings, as required.
Requirements • Proven experience in calendar management and scheduling for executives.
• Expertise in arranging and coordinating complex travel plans, including international itineraries.
• Strong organizational skills with the ability to prioritize tasks and manage conflicting deadlines.
• Excellent communication skills, both verbal and written, to interact effectively with diverse stakeholders.
• Ability to handle sensitive and confidential information with professionalism and discretion.
• Proficiency in managing files, records, and documentation for high-level executives.
• Flexibility to perform on-call duties and travel when required.
• Previous experience in supporting corporate events or large-scale meetings is a plus. TalentMatch®
