Executive Assistant
Description We are looking for a highly organized and proactive Executive Assistant to support C-suite executives in Jeffersonville, Indiana. In this role, you will manage complex calendars, oversee travel arrangements, and ensure seamless coordination of meetings and projects. This position requires exceptional attention to detail, strong communication skills, and the ability to handle sensitive information with discretion. Responsibilities: • Oversee and manage dynamic calendars for multiple executives, ensuring schedules are optimized and conflicts are resolved promptly. • Coordinate and confirm meeting logistics, including agendas, materials, and location details. • Arrange comprehensive domestic and international travel itineraries, ensuring compliance with company policies and preferences. • Prepare detailed agendas, record meeting minutes, and track follow-up actions to ensure timely completion. • Liaise with internal and external stakeholders to facilitate accurate and efficient meeting deliverables. • Develop high-quality presentations and slide decks for executive-level meetings and client engagements. • Draft and edit documents, reports, and correspondence with precision and clarity. • Support the coordination and execution of ongoing projects, including tracking timelines and managing communications. • Maintain project documentation and assist in resolving basic issues related to software implementation. • Ensure that all tasks and projects are completed with a high level of professionalism and efficiency. Requirements • Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting senior leadership. • Demonstrated expertise in managing complex calendars and international travel arrangements. • High proficiency in Microsoft Office Suite, including PowerPoint, Outlook, Word, and Excel. • Familiarity with supporting or coordinating software implementation projects is highly desirable. • Exceptional organizational skills, with the ability to manage multiple priorities effectively. • Strong communication and interpersonal abilities, capable of liaising with diverse stakeholders. • Proven ability to handle confidential information with utmost discretion and professionalism. • A proactive problem-solving mindset and the ability to work independently.
