Job Description
We are seeking a highly organized and detail-oriented Executive Assistant to provide top-tier administrative support to the Vice President of Operations. This role involves managing calendars, coordinating travel arrangements, and facilitating meetings, along with preparing and editing key documents for both internal and external stakeholders. The ideal candidate will act as a liaison between the SVP and various departments, ensuring timely communication and alignment on strategic initiatives.
ResponsibilitiesProvide high-level administrative support to the SVP of Operations, including calendar management, travel arrangements, meeting coordination, and expense reporting.Prepare and edit correspondence, presentations, reports, and other documents for internal and external stakeholders.Act as a liaison between the SVP and internal departments, ensuring timely follow-up and alignment on key initiatives.Coordinate and support operational meetings, including agenda preparation, minutes, and action item tracking.Assist in project management activities, including tracking milestones, deadlines, and deliverables across operations, supply chain, and production teams.Maintain confidentiality of sensitive information and exercise discretion in all communications.Support the SVP in managing vendor relationships, customer communications, and cross-functional initiatives.Organize site visits, plant tours, and executive-level events as needed.Monitor and manage key performance indicators (KPIs) dashboards and assist in preparing monthly and quarterly business reviews.Essential SkillsStrong skills in calendar management and administrative support.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams).Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.Excellent written and verbal communication skills.Additional Skills & QualificationsBachelor’s degree in Business Administration, Communications, or related field preferred.3+ years of experience supporting executives, preferably in manufacturing,Experience with ERP systems (e.g., AX Dynamics) and project management tools is a plus.Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
