Job Description
We are seeking a highly skilled Executive Assistant to provide high-level administrative support to the Vice President of Operations. The ideal candidate will manage calendar appointments, travel arrangements, meetings, and expense reporting, ensuring smooth daily operations. This role involves preparing and editing correspondence, presentations, and reports, acting as a liaison between the SVP and internal departments, and supporting operational meetings.
ResponsibilitiesProvide high-level administrative support to the SVP of Operations, including calendar management, travel arrangements, meeting coordination, and expense reporting.Prepare and edit correspondence, presentations, reports, and other documents for internal and external stakeholders.Act as a liaison between the SVP and internal departments, ensuring timely follow-up and alignment on key initiatives.Coordinate and support operational meetings, including agenda preparation, minutes, and action item tracking.Assist in project management activities, including tracking milestones, deadlines, and deliverables across operations, supply chain, and production teams.Maintain confidentiality of sensitive information and exercise discretion in all communications.Support the SVP in managing vendor relationships, customer communications, and cross-functional initiatives.Organize site visits, plant tours, and executive-level events as needed.Monitor and manage key performance indicators (KPIs) dashboards and assist in preparing monthly and quarterly business reviews.Handle ad hoc requests and special projects with a proactive and solutions-oriented approach.Perform other duties and projects as assigned.Skills and Qualifications RequiredBachelor’s degree in Business Administration, Communications, or related field preferred.3+ years of experience supporting executives, preferably in manufacturing, food & beverage, or CPG industries.Proficiency in collaboration tools like Teams.Experience with ERP systems such as AX Dynamics and project management tools is a plus.Work Environment
The role operates in a dynamic and fast-paced environment, requiring regular interaction with various departments and stakeholders. The position may involve occasional travel for site visits and events, and requires a professional demeanor and adherence to business attire.
Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
